Help!
There is a help icon on every screen of the application

When you click on the Help icon, it will open a window where you can search for articles or open a chat with Support.

Project Selection

All Project work is seen & done from within a Project.

Select a Project to open the dashboard and navigation for that project.

Project Navigation

Within a Project, the different items are found using the left-hand navigation menu

Budget

View versions of Budgets

In a selected Budget, view amounts, status & timeline

Create Draft Budget (i.e. Create an Editable Budget)

In the selected Budget view, click "Create New Draft" to make an editable copy

Vendors

In order to enter a Capital Request or Invoice the Vendor MUST be displayed in this list.

Add Vendor

Vendor Add Step 1

First, search to see if the Vendor you need exists in the database

Search results will adjust as you type

If you see the Vendor you need, click “Add to Project”

Vendor Add Step 2

If you do not find the Vendor you need in the database, then click on “Add New Vendor”

Enter the Vendor Name and press Save to add the new Vendor

Capital Requests

Press THIS Button to Add New Capital Request

New Capital Request

Select Vendor

- Vendor must have already been added in Vendors section

Purchase Order Number

- Leave Blank: This gets populated at approval (automation)

Description

- Short Description of Request

PDF Documents

- Upload Bids & Final

Comment

- Describe Final Request in detail

Payment Requires Lien Waivers

- Ignore

Is Fully Executed

- Ignore

Account Codes

- Select budget line item(s) to which this request will relate & the amount

- The “Total Allocated” sum is the amount of the Capital Request

New Capital Request —> Press Save!

And remember: You can always go back & edit later

Capital Request List View

New Capital Request is now at the top of the list

Submit Capital Request for Approval

- You MUST Submit the request for approval when it is complete.

- Note the Approval Chain is selected by default

When you press “Submit for Approval"

- Enter a comment and press “Submit”

View Status of Submit Requests

The list of all Capital Requests is displayed when you select Capital Requests from the Navigation Menu and immediately after you Submit a Request

Press “Recall" if you need to “Unsubmit” Request

Press “Return to Draft” to Unapprove (not recommended)

- Note: “Return to Draft” in the Status means the request is Approved

Invoices

Click on the “Number” column to Select/View/Edit an Invoice

Add Invoice

Press the “Add Invoice” Button to create a new Invoice

New Invoice Data Entry

Select Vendor

Select Commitment (Commitment = Capital Request)

Invoice Number

Invoice Date

Invoice PDF

Invoice Payment Information

- Do NOT check the Paid box. If an invoice is marked as paid, then it will NOT post to HVMG M3 for payment processing.

- Once the invoice payment is issued from HVMG M3, this will be updated automatically and you will see when the invoice was paid, the amount and the check number.

Invoice Comment

- Descriptive Comments!

Final Invoice

- Check if last invoice payable against selected Capital Request

In-Service Date

- Enter Date equipment installed/became in use

Print to Invoice Comments

- Anything entered here will watermark to the invoice PDF included in the draw package

- Note this should NOT be used in place of the general Invoice comments field

Invoice Account Codes

- Allocate Invoice to Budget

- Note these will only show line items associated with the Capital Request to which the invoice is related

Invoice GL Codes

- Total Invoice Amount must be allocated to one (or more) GL categories

- Contact HVMG/Carolann Hardy with questions about how to allocate

Invoice Entry: Total Commitment = Total Amount of Capital Request

- Commitment Remaining Amount = Balance of Capital Request remaining after Invoice is saved

Invoice —> Press Save

Reports

View Data, Download Excel, Check Totals in Reports
