Messaging - Volunteer User Guide

This is a step-by-step guide for volunteers to access the Rosterfy Chat Messaging feature.

Overview

Volunteers are able to see all active chats and pinned chats within the dedicated, Messaging tab.

This tab also includes the ability to search chats.

When accessing the Messaging tab the first time, a pop-up will be displayed, explaining the purpose of the messaging feature and all users will need to click I have read and agree to these Messaging End User Terms, to be able to use this feature.


Accessing Chat Channels

To access Messaging, simply login to the Volunteer Portal, and click Messaging from the left hand list.

When clicking on the chat name, the chat window will be displayed.

If no messages have been sent within the channel, as yet, it will appear blank.


Chat Settings

Within each channel, that a volunteer has access to, they will have access to a few setting options available:

  • Mute Chat: This will mute all chat notifications, until the user choose to unmute the chat by repeating the process.

  • Pin Chat: This will pin the chat to the top of the chats list within the messaging tab, to assist with ease of finding the channel.

  • Leave Chat: When a user selects this, they will be removed from the channel. To avoid accidentally leaving a channel, a pop-up will appear, warning the user that they will require admin approval to rejoin the chat.

Volunteers can access these settings by navigating to Messaging > Selecting the chat channel > Chat Settings (found in the top right corner).


Chat Options

Volunteers will be able to interact with others within their chat channels, via the chat window.

Within the chat window, channel members will have the ability to;

  • Send messages: Simply type your message in the message box and press enter or click the send button to send. (Note: To return to the next line when sending a message, simply click shift + enter, to continue with your message before sending.)

  • Edit their own messages: Click More Actions () against the message, then select Edit Message.

  • Delete their own messages: Click More Actions () against the message, then select Delete. (Note: This cannot be undone)

  • Mention individual channel members: Enter @, users within the chat will be displayed, simply click the required user, or continue to type their name and click enter.

  • Mute individual channel members: Click More Actions () against the users message, then select Mute.

  • React to messages with an emoji (If enabled by admin): Hover over the message, and click the Emoji (), then select your required emoji.

  • Reply in thread (If enabled by admin): Hover over the message, then click Reply in Thread ().

  • Send a Gif: Enter /giphy, then enter the text for the gif you would like, then press enter. You will be able to shuffle through available gifs and send or cancel.

  • Mark a message as unread: Click More Actions () against the message, then select Mark as Unread.

  • Mute the channel: Click Chat Settings (), then select Mute Chat.

  • Leave the channel: Click Chat Settings (), then select Mute Chat.
