Sending Invites (To Guests on Rumor)
Select your event from the Event Dashboard.
Navigate to the Guest List tab and click ‘+ Invite Guests’ (on web) 'Invite' (on app)
Host App:
Choose one or multiple guests by selecting the checkbox next to their name.
Click ‘Send Invite’ at the bottom of the web screen or 'Next' on app, to enter Invite Details:
Select Ticket Type from the dropdown.
Add Additional Guests (optional).
Customize an Invite Message (optional).
Add any private guest notes (optional).
Add Event Tags (optional).
After all details are entered select 'Send Invite' and the guest(s) will be invited.
Note:
If you want to bypass the invite step and confirm guests immediately, select Add to Confirmed"
If you’re not ready to send invites, select ‘Add to Drafts’ to save and send them later.
Sending Invites from Drafts
You can save guest invites as drafts and send them at a later time. To send invites from drafts:
Navigate to the 'Guest List' of an event and select the 'Drafts' tab.
Select all users that you want to invite by selecting the checkbox next to their name.
Select 'Send Invite' and enter the 'Invite Details' using the steps under Sending Invites above.
Inviting a New Guest (not on Rumor) (Web)
Select your event from the Event Dashboard.
Select ‘+ Invite Guests' (web)
From Invite Guests select 'Invite New Guest'
Enter the Guest Information including
First Name, Last Name, and Email. If the user is already a part of the database, they will be flagged and you can view their profile and invite them directly.
Please note: Email is not a required field but is to send an invite. To proceed without one click Add to Confirmed or Add to Drafts
Enter the Invite Details
Select Ticket Type from the dropdown.
Add Additional Guests (optional).
Customize an Invite Message (optional).
Add any private guest notes (optional).
Add Event Tags (optional).
Select 'Send Invite'.
You can also invite guests from your phone contacts.
To download our Mobile App select 'Invite Phone Contacts' and you will be shown a QR code to download the Rumor App.
Inviting a New Guest from (App)
Using the mobile app navigate to your event and select 'Invite' from the event page.
Select the + on the top right hand corner of the 'Invite Guests' page.
From the pop up, 'Allow' Rumor to access your contacts.
Once your contacts have synced you can choose either action:
Invite from Contacts
Invite Manually
To 'Invite from Contacts' select 'Invite' next to a contact's name.
You can use search and filter functionalities to easily find contacts.
The First Name, Last Name, and Phone Number will pre-populate from your contact's information.
Note: If you wish to change the First or Last Name on the invite, these changes will not impact any contact information on your device.
Enter 'Invite Details' and click 'Send Invite'.
To 'Invite Manually' select the toggle from the top of the Invite Guest page and follow the steps listed in desktop.
Host App:
Bulk Inviting Guests
Do you have an ongoing spreadsheet of guests you want to invite to an event on Rumor? No problem, use our bulk upload function instead of individually inviting guests.
Using web, navigate to your event and select 'Invite Guests'.
From Invite Guests, select 'Bulk Upload Guests'.
Download our CSV template and enter all guest details.
Drag and drop the field or select 'upload a file'
If all fields were entered correctly, you will see a green tag.
Host Web:
If so, select 'Continue' and enter Invite Details.
Note: When entering Invite Details, you will see a scrollable list of all guests uploaded via CSV. If you wish to remove any guests from the invite, deselect the check box next to their name.
When you are ready to send invites, select 'Send Invite'.
If there were any problems uploading your guests you will see the following error state:
Updating Invite Details
To edit ticket type or additional guest allocation for an invite:
Navigate to the 'Confirmed' tab of the 'Guest List'.
Select the user(s) that you wish to edit.
Click 'Update Invite'.
Modify Invite Details as needed:
Change Ticket Type
Add Additional Guests (Note: Additional guests cannot be removed once added.)
Click ‘Update Invite’ to save changes.
Guests will receive a notification when their invite is updated.
For bulk updates: If multiple users are selected, their invite details will appear in a list. You can only edit one invite at a time.
Withdrawing an Invite
To cancel an invite and remove a guest:
Navigate to the Confirmed tab in Guest List.
Select the guest(s) to remove.
Click ‘Withdraw Invite’ at the bottom of the screen.
Confirm the cancellation.
What happens when an invite is withdrawn?
• The guest will move to the ‘Declined’ tab.
• Any additional guests linked to their invite will be withdrawn.
• Guests will receive a notification informing them of the cancellation.
If you want to re-invite a guest, follow the Sending Invites process again.
