How do membership credits work?

A benefit of a membership is that it could offer credits to members so they can book rentals, classes, or lessons at no additional cost. When setting up membership credits, it will include a a set number of credits.


Credit Allocation

Members always get the full number of credits per calendar period, and it is not tied to billing or signup dates.

Credits cannot be pro-rated,

  • Membership: 8 credits per month

  • Member joins on April 15 → still has access to an allotment of 8 credits for April

Credits are calendar-based, so everyone gets equal access regardless of signup date.


How credits work

Credits are deducted based on the date of the booking (the scheduled session date), not when the booking is made. This means future bookings use credits from the month they occur in.

In a calendar month, if there are any bookings that have been made with credits, then the credits are considered to have been deducted from that month's allocation of credits.

Example:

  • Membership: 8 credits that renews monthly

  • A customer signs up on March 28

  • They immediately book multiple sessions:

Bookings made:

  • 2 sessions in March

  • 4 sessions in April

  • 1 session in November

Credit breakdown:

  • March credits: 2 used → 6 remaining

  • April credits: 4 used → 4 remaining

  • November credits: 1 used → 7 remaining


Credit Rollover

  • Credits do not roll over

  • If there are any unused credits in a calendar period, it will not rollover into the next credit cycle

Why: Ensures fair access for all members and prevents early access based on signup date

Adding Extra Credits (Manual Adjustment)

Step-by-Step:

  1. Create a $0 package with the desired credit type

  2. Make the package private

  3. Assign the package to the member under the Packages tab

  4. You can Add or Redeem credits from a customer's package as needed

Use Cases:

  • Add missed credits

  • Offer goodwill credits

  • Adjust credit balance without changing membership


Example Scenario

Let’s walk through a real example to show how everything works together.


Membership details:

  • 8 credits, renews monthly

  • Limit credit usage: 2 credits per week

  • Applies to Rentals

  • Minimum duration of 30 minutes

Member joins: February 26th
They immediately receive 8 February credits, and will also have access to the following allotments:

  • 8 credits in March

  • 8 credits in April

  • And so on

Six bookings are made at one on February 20 where the bookings occur on:

  • 3 bookings on February 22

  • 1 booking on March 3

  • 1 booking on April 22

  • 1 booking on May 1

How credits are applied:

  • February 22 bookings:

    • Only 2 credits allowed (weekly limit)

    • The customer will be prompted to pay for the 3rd booking even if they have credits available because they've already reached the 2 credit limit per week

  • March 3 booking:

    • Deducts from March credits (1)

  • April 22 booking:

    • Deducts from April credits (1)

  • May 1 booking:

    • Deducts from May credits (1)
