Warranty jobs: when to start the job, how to reschedule, and getting the customer's sign-off

Quick answers for providers working warranty jobs: when to press Start Job, how to change an appointment, customer verification and the 48-hour auto-approval, expired leads, and who to contact.

This is a quick-answer companion to RV Help Warranty Jobs, which walks through the whole process end to end. Below are the questions providers ask us most often once a warranty job is underway.

When do I "start" the job in the portal — when I schedule the customer, or when I get there?

Press Start Job as soon as you begin working the job — not when you physically arrive at the RV.

Every warranty job opens on the Preparing for Service step (Step 1 in your job workroom). Your appointment is already set when you accept the job — you'll see it in the green Appointment card at the top of the step. Review everything under All Issues, make sure you have the tools and documentation you need, then press the green Start Job button at the bottom of the step. Starting the job is what unlocks the diagnosis and estimate steps you'll need on-site.

How do I reschedule a warranty customer?

The appointment shown in the Appointment card is set when you accept the job, and there isn't a self-serve reschedule button in the warranty workroom yet. To change it:

  • Agree on a new date and time with the RV owner first.

  • Then message us in the green in-app chat (or tap Get Support in the job workroom) with the customer's name and the new time, and we'll update the appointment on the job for you.

The customer can't open the email to sign off on the completed work — what do I do?

Warranty jobs need the RV owner to verify the work before you can invoice. When you finish the work and mark the job complete, you'll press Request Customer Verification on the Customer Verification step. RV Help then emails the owner a work summary with a Review & Verify Work button, and the page it opens has Confirm Work and Dispute Work buttons.

  • If the owner can't find the email, have them check their spam or junk folder for a message from RV Help. They also get an automatic reminder after 24 hours.

  • You're not stuck waiting on them: if the owner doesn't respond within 48 hours, RV Help automatically verifies the completion so your payment isn't delayed. While you wait, the job shows Verification Requested — "They have 48 hours to respond."

  • Once the work is confirmed (by the owner or automatically), the job moves on to the Finalize Invoice step.

My warranty job says it's no longer available or "expired" — is it gone?

If a warranty lead shows "No Longer Available", the acceptance window closed or the request was routed elsewhere — the customer may have selected another provider or the request may have been cancelled. Once that screen appears, the lead can't be reopened from your side.

Who do I contact — RV Help or the OEM?

Contact the OEM for anything about coverage, authorizations, labor-hour approvals, or parts. Use the Contact [manufacturer] card in the job workroom — it lists your rep and phone number, with Message OEM and Call OEM buttons. Always include the VIN in OEM requests.

Contact RV Help for invoices, payouts, and portal or app problems. Tap Get Support in the job workroom, use the green in-app chat, or email support@rvhelp.com. The Warranty Process Guide button right below Get Support opens the full step-by-step warranty guide.
