Understand what benefit groups offer and how to use them.

Groups allow you to segment your database into specific demographics. This can be used for reporting, forecasting and marketing purposes. You can make use of pretty much any criteria that is being captured within the system to segment individuals. This also comes with the ability to include or exclude records based on any of the criteria captured. So you could set up a group to show... "anyone that has been created in your database within the last 6-weeks, but exclude anyone that already has an opportunity logged against them" - how clever is that?! 


1. Type of Groups

We have two kinds of Groups within the system, Smart Groups and Static Groups. Smart groups are dynamic and constantly changing depending on who matches or no longer matches the criteria set. Static Groups are fixed, so you can always refer back to the group as a point of reference. 

Groups can be created in 'Contacts' (Individuals & Organisations) and within the 'Deals' section.

Groups can be viewed in a basic list view (default), or a more comprehensive table/report view by configuring the table columns.


2. What are Groups for

Common uses for groups include:

Groups are a powerful way to create any report you may need. With the configuration of columns and advanced filtering, you can construct any report you may need. 

Why not try: How many deals have been created in the last 6 months with a value of more than 'x'.

Using advanced filtering, segment your contact database and create mailing lists for different purposes. 

Why not try: Creating a list of all your customers (individual with a 'won deal' against them) and send them an email letting them know about something new you offer? Who doesn't love a bit of upselling?

Segment your deals with whatever criteria you may need for the tasks at hand. Maybe you want to focus on the deals you are visiting next week, or maybe you want to keep a close eye on those deals with higher value...

The Marketing dashboard analytics is completely configurable based on groups (both static and smart). It helps you track the quality of your leads and other Marketing KPIs, segmented with all the power of our smart filtering.

Organise your contact database for creating call lists in static groups. You can organise and divide your work by splitting your contact database into smaller groups. These can be used for divided work among teammates.

One of the most powerful automation triggers is when a contact or deal joins or leaves a group. This supports smart groups as well which means that you can build triggers based on practically anything you can think of.

Why not try: Setting up a lifecycle email chain so that when someone signs up on your site (using 'lead form capture') you automatically send them a chain of emails. We use this, it's ever so handy!

If you need to play around with your data in Excel (boring!) You can always export a group’s data in CSV format. You can then do whatever you need to with your data as quickly as possible so you can get back to using the system (YAY!).
