Flags
They appear as small labels (badges) on customer or pet records, so your team can instantly recognise important information at a glance.
How do I flag a client or pet?
Click to edit the pet or client's profile from within the appointment by clicking on their name, then edit or from the customer and pets list in the left menu.
Why Use Flags?
Flags are more than just reminders. They can also be used to:
Mark special situations → e.g., Anxious dog, Persistent No Show, VIP Club.
Send targeted communications → send email or SMS to all customers with a certain flag (e.g., VIP for exclusive offers).
Exclude customers from campaigns → avoid messaging those with flags like BANNED or No Tips at Christmas.
Fill last-minute slots → send all medium-sized dogs owners a message to let them know a medium-sized appointment is available.
Send a specific group a seasonal reminder → send special reminders to flagged groups, like OAY (Once a Year) clients.
Promote relevant products/services → target pet owners with needs-specific flags (e.g., Senior Pet Care).
This makes flags a powerful tool for both client management and marketing.
How to Create and Manage Flags
Use the Search Bar in the Flags section to quickly find specific flags.
Add a New Flag
Go to Settings → Flags.
Click Add + (top right).
Enter details:
Flag Name → short code (e.g., NS for No Show).
Description → longer explanation (e.g., Client frequently cancels appointments).
Colour → choose a colour for easy recognition.
Save.
The flag will now be available to assign to customers or pets.
Edit or Delete a Flag.
Use the three-dot menu next to a flag:
Edit → Update the name or description.
Delete → Remove the flag from the system.
Example Use Case for Groomers
A client repeatedly cancels last minute → add PNS (Persistent No Show).
A dog is nervous and requires extra time → create ANX (Anxious Dog).
A loyal customer gets perks → mark them with VIP.
A client disputes payments → use MAI (Money an Issue).
This way, every team member is instantly aware of the client’s history and special notes.
How Groomers Can Use Flags
Flags are powerful because they:
Highlight Pet Size → S,M,L,XL e.g., make filling any last-minute gaps simple by targeting your message to pets who can fit in the size gap you have.
Client behaviours → e.g., mark Persistent No Show to reduce scheduling issues.
Track financial situations → e.g., Account in Credit or Money an Issue.
Reward loyalty → e.g., VIP Club members flagged for special offers.
Block problematic clients → e.g., BANNED flag for accounts not to be booked again.
Targeted promotions: Encourage flagged groups to rebook or try new products.
This ensures every groomer or receptionist has instant access to important client context without digging through notes.
