Understanding the Concept of E-Invoicing

As digital commerce evolves, the way businesses handle billing is shifting from manual documentation to automated data exchange. Order Printer Pro now supports native E-Invoicing to help you streamline your accounting operations, reduce administrative overhead, and process payments more efficiently.

The Difference Between Digital Invoices and E-Invoices

It is common to mistake a standard PDF invoice sent via email for an "E-Invoice." While a PDF is a digital file, it is essentially a digital picture of a document. When your customer receives a PDF, their accounts payable team still has to manually read the document and type the billing details into their accounting software (or rely on imperfect text-reading software).

A credible E-Invoice is a machine-readable, structured data file (such as an XML). Because the data is strictly structured, it bypasses the email inbox entirely. It is designed to be transmitted directly from our platform into your customer’s accounting or Enterprise Resource Planning (ERP) system, where it is read and processed automatically.

How E-Invoicing Works on Our Platform

Generating an E-Invoice allows you to export your billing data in a universally recognized structured format, ensuring seamless compatibility with external accounting systems. Currently we are supporting the generation of UBL 2.1. compliant XML files, but soon enough we will be introducing the CII compliant XML files to adhere to EN 16931 principles.

Note: Orders are exported in the format that is provided by Shopify, and they are not connected to any of your templates.

Because E-Invoices are transmitted purely as underlying data for machines to read, custom visual designs - such as your company logo, chosen fonts, or layout colors from your PDF templates - are not included in the E-Invoice file.
