How do clients choose a service provider in the scheduler?

Have clients choose a service provider or the system select one

In Schedulista, a provider is a user who offers services through the online scheduler and has an active calendar. On a business account with multiple providers, more than one provider can offer a service.

If you have multiple service providers that offer the same service(s), clients will be able to choose between them when scheduling an appointment.

You can also allow the system to choose the provider.

This the default setting for your account.  This will allow your clients to either choose their own provider or the "No preference -- see all available times" option.

Have the system automatically choose a service provider

If you don't want your clients to choose their own provider but would rather a provider be chosen for them, you can do so by:

(1) On the web app: Go to Settings > Scheduling Policies

On the mobile app (version 7.3 or above): Tap on Scheduling Policies under the Configure section on the Settings tab

(2) Scroll down to the Choosing Providers section

(3) Select System chooses the service provider automatically

You can now select the method that the system chooses a provider automatically.

(4a) Select Chooses randomly; or

Random choice uses an algorithm to spread around the appointments to various providers, and it works similar to the "No preference" option. Clients will see all available times and the system will select a provider based on who is available at that given time.

(4b) Select Chooses based on a configurable ordering

Configurable ordering refers to the order of your user list on the Users/Calendars page in settings.  When a client selects an appointment date & time, the system will check which providers are available and will select the available provider highest on the user list.

In our salon example, if Stephen, Linda, and Casey all provide the same service and are all available at the selected appointment date & time, Stephen would be chosen since he is at the top of the list.

If only Linda and Casey are available, Linda would be chosen because she is higher on the user list than Casey.

You can reorder your user list as needed.

(5) On the web app, click Save at the bottom of the page.

On the mobile app: Tap Save at the bottom of the page, then tap Close at the top to return to the Settings tab
