The People & Groups page is where you manage everyone who has access to your account. From here you can invite new teammates, assign organization roles, control which Collections each person can access, and organize people into Groups for easier management.
Only users with the Admin role can invite, edit or remove other users, assign Collection access, or manage Groups. If you cannot see the People & Groups page, you are a Member or Billing Manager and will need to ask an Admin in your organization to make changes for you.
How to View People in Your Organization
Your list of people sits within your account settings.
Click your organization name at the very top of the page to open the menu.
Click Settings in the drop down list.
Click People & Groups.
Click the People tab.
You will now see everyone currently connected to your organization, along with their role, Group, and access.
Organization Roles
Every person is either an Admin, a Member, or a Billing Manager. Choose the role based on what the person actually needs to do rather than their seniority, as Admins are able to remove other users and change billing details.
Admin — Full access to all Collections, screens, and organization settings, with no restrictions.
Member — Access to assigned Collections only. Members have no organization settings, Screens, Layouts or Themes access, and see nothing until an Admin gives them access to at least one Collection, either directly or through a Group.
Billing Manager — Access to the organization's billing settings only.
Warning: If a Member hasn't been given access to any Collection yet, either directly or through a Group, they see a welcome screen prompting them to reach out to an Admin. Always assign a Collection to a Group, either when creating it or before adding Members to it, to avoid issues with users being invited with no access to anything in the account.
How to Invite a Teammate
On the People tab, click the + Invite button in the top right corner.
Enter the new person's email address.
Choose a role: Admin, Member, or Billing Manager.
If you chose Member, optionally click Add to Groups to assign one or more existing Groups now. You can also assign Collection access individually later, or add the person to Groups afterward from the People & Groups page.
Click Send Invitation.
The person appears in your list straight away with a status of Pending. This changes once they accept the invitation and finish setting up their account.
How to Accept an Invitation
Share these steps with your new teammate so they can get started.
Look for the invitation email from ScreenCloud in your inbox.
Click Open ScreenCloud in the email.
Follow the on screen instructions to finish setting up your account.
Note: If the invitation does not arrive, check your spam or junk folder before asking an Admin to send it again.
How to Change a User's Role
Use this when someone needs more responsibility, or when you want to limit what they are able to change.
Go to the People tab.
Find the person you want to update and click the three dots (...) next to their name.
Select Edit User.
Choose Admin, Member, or Billing Manager. Click the role card to expand its description if you need a reminder of what each role can do.
If you chose Member, you can also manage their Groups from this same panel, using Add to Groups or the three dots (...) next to an existing Group to remove them from it.
Click Save Changes.
How to Remove a User
Use this when someone leaves your team or no longer needs access to the platform.
Go to the People tab.
Click the three dots (...) next to the person's name.
Select Remove from organization.
Note: Removing a user takes away their access immediately.
How to Update a User's Email Address
Email addresses are locked for security reasons, so they cannot be edited directly. To change the address a user signs in with, remove them and invite them again using their new address.
Remove the user, following the steps in How to Remove a User above.
Click Invite.
Enter their new email address.
Choose their role and send the invitation.
The user will need to accept the new invitation before they can sign in again.
Collection Access Levels
Collections replace Spaces from ScreenCloud Studio. Each Collection is deliberately self-contained, and an Admin controls who can access it using the Share button on that Collection.
There are three access levels:
Member (full access) — Create posts, add Feeds, create Apps, and manage screens, within that Collection only.
Contributor — Create posts in the quick post editor, and edit or delete only their own content. No access to Feeds, Apps, or screens.
View only — View content only, with no ability to create, edit, or delete anything.
Access can be assigned to an individual person, or to a whole Group. Where a person's individual access to a Collection differs from the access granted through a Group they belong to, the higher level wins.
User Groups
Groups let you assign Collection access to several people at once, instead of setting it up individually for each person. This is useful for teams that all need the same access, such as a distribution center or an office location.
Creating a Group
Go to People & Groups.
Click the Groups tab.
Click Create group.
Enter a name for the Group.
Click Add People to add existing Members to the Group.
Click the Collections tab within the panel, then Add Collections to choose which Collections the Group can access.
For each Collection, choose an access level: Full access, Contributor, or View only.
Click Save Changes.
Editing a Group
Open the Group from the Groups tab to add or remove people, add or remove Collections, or change the access level for a Collection the Group already has. The Groups list shows the number of people and a chip for each Collection the Group has access to, so you can see its scope at a glance.
Deleting a Group
Click the three dots (...) next to a Group and select Delete. What you see next depends on the Group's impact:
If the Group has no members, you'll see a confirmation that deleting it won't affect anyone's access.
If deleting the Group would change someone's access, you'll see how many Collections and users are affected, with anyone who would be left with no other route to a Collection called out by name.
Review the impact carefully before confirming, since removing a Group's access cannot be undone.
