Overview
Scrunch uses role-based access so you can control who sees what. Organization Admins manage users in Organization Settings → Members. Direct brands manage access in Brand → Team Members.
Managing User Permissions
How to invite users, assign roles, and control access in Scrunch
Who can do this: Admins
Where: Organization Settings → Members (agencies and multi-brand orgs)
Brand level: Brand → Team Members tab (direct brands, or agency guests on a single brand)
Available Roles
Admin
Full access across the organization
Can create and edit prompts, tags, and the Context tab
Can invite/remove users and adjust permissions
Can create new brands (agency accounts only)
Editor
Can create and edit prompts, tags, and Context tab entries
Cannot add/remove users or create new brands
Viewer
Read-only access across all brands in the organization
Cannot make changes
Guest (agency accounts only)
Read-only access to the specific brand they were invited into
Cannot view other brands in the organization
Invite new users (organization level)
Use this flow if you are an agency or any org with multiple brands.
Go to Organization Settings → Members
Select + New Member
Enter the email you'd like to invite and select role
(Optional) Upgrade for specific brands
In the Team Members tab for each brand, admins have the ability to upgrade roles.
Send the invite
The user receives an email to accept and set up their account
Confirm access
Back in Members, hover the Access column to see brand coverage and any role upgrades
Tip: Keep org-level roles conservative, then grant brand-by-brand upgrades later (see “Adjust access per brand”).
Invite users to a single brand (brand level)
Use this flow for direct brands, or when an agency wants to give a client access to one brand.
Open the brand, go to Team Members
Select + New Member
Enter the email address
Choose a brand-level role
Send the invite and confirm the user appears in Team Members
Automated invites will be sent out to the email addresses, inviting them to set up an account for that brand.
Note for agencies: The Guest role will show for accounts where visibility is restricted to one or a few individual brands.
Adjust access per brand (upgrades and restrictions)
Give someone a broader org-level role, then fine-tune on specific brands.
Go to Organization Settings → Members
Find the user, then in the Access column hover over their brand count
For each brand, choose a role
Example: keep a user Viewer org-wide, upgrade them to Editor on “Brand A,” keep Viewer on “Brand B,” and remove access to “Brand C”
Save changes
Hover Access to verify upgrades or restrictions
Note: This can also be done using the Team Members tab in each brand environment.
Change a user’s org-level role
Go to Organization Settings → Members
Open the actions menu next to the user (three dots), select Edit role
Pick Admin, Editor, or Viewer, then Save
When to use: You want a default permission across all brands, then adjust exceptions with per-brand access.
Remove a user
From the organization:
Organization Settings → Members → actions menu → Remove from organization
Confirm removal, the user loses access to every brand in the org
From a single brand:
Open the brand → Team Members
actions menu next to the user → Remove from brand
Security tip: Remove users who no longer need access, and do not share logins.
Roles and what they can do

* Guest is available to agencies, intended for access to specific brands.
Common scenarios
Give a client read-only access to one brand (agency)
Brand → Team Members → Invite → set role to Guest
Let a teammate add prompts across all brands, but not edit users
Org Settings → Members → Invite as Editor
Limit a contractor to just two brands
Invite them as Editor using the Team Members tab for the two specific brands
One person needs broad read access, plus edit rights on a single brand
Set org-level Viewer, then upgrade that brand to Editor under Manage access
Troubleshooting
The invite email was not received
Ask the user to check spam
Confirm the email address is correct
Resend invite from Members (Organization Settings tab) or Team Members actions menu
Ask if they are able to log in using their email at app.scrunchai.com
If your company uses strict filters, ask IT to allowlist Scrunch notification emails
I cannot see the Invite button or 'Organization Settings' tab
You may not be an Admin. Ask an Admin to adjust your role
I cannot create new brands
Only Admins in agency orgs can create brands. Reach out to the support@scrunchai.com if you believe your role should be updated.
Best practices
Assign the minimum necessary role
Review Members and Team Members quarterly to clean up old accounts
Keep org-level roles simple, then refine access with per-brand upgrades
