Complete a customer order

How to action, dispense, and update a customer order in ScryptHQ.

Follow these steps to action a customer order in ScryptHQ, send items to your dispense queue, and update the order status.

1. Open Tasks in ScryptHQ

Go to ScryptHQ > Tasks. This is where you will find new customer orders to action.

2. Open the customer order

Find your next customer order and click Customer Order, or the Note section of the task, to open the order.

3. Send items to the dispense queue

From here you can action the items that suit the customer's order.

  1. Tick the checkbox for each medication you want to complete.

  2. Select Send to Queue. Dispense software limitations may apply. A Send to Queue window will appear.

Check any additional information required to send to the dispense queue, then select Send to queue.

Now dispense the medications in your dispense software as part of your regular dispensing procedure.

4. Update the order status

Once each item has been dispensed, update the order status in ScryptHQ. You can either update each medication's status individually (see Update an item's status) or update the overall order, then select Update order.

5. Notify the customer

Send a message back to the customer to let them know their order is ready, then select Update Order.

Success. You have completed the customer order, and the Customer Order task is now cleared from your Tasks list.

Update an item's status

You can update individual items in a customer order to reflect exactly what is required. The table below lists the available statuses and what happens when you update the overall order.

Item status

Meaning

Action when updating the overall order

Pending

This item has not yet been dispensed.

Order status: remains Pending.

Task: the Customer Order task remains in the task list with the same date.

Message to customer: none.

Completed

This item has been dispensed and is ready for collection.

Order status: marked as ready for collection or scheduled for delivery.

Task: the Customer Order task is marked as completed and removed from the task list.

Message to customer: "Your Order # is now complete and ready for collection."

Sent To Queue

This item's prescription has been sent to the dispense queue.

Order status: none.

Task: the Customer Order task remains in the task list with the same date.

Message to customer: "Your Order # is now complete and ready for collection."

On Order

This item has been actioned, but the pharmacy has no stock. You can select a date for when the stock is due to arrive in store.

Order status: none.

Task: the Customer Order task moves to the date the ordered item is expected to arrive. If other items have a similar status, the soonest date is used.

Message to customer: "Some items were not in stock and have been ordered. Expected date is <<OrderDate>>."

Unable to Fill

This item will not be dispensed. You can add a note to the customer explaining why.

Order status: Unable to fill.

Task: if this is the only status in the order, the task is removed.

Message to customer: "Some items were not able to be filled."

Too Early

This item is too early to be dispensed and will be dispensed at a later date. You can select the next valid dispense date. By default, this is 21 days from the last dispense date.

Order status: Partially Ready.

Task: the Customer Order task moves to the next valid date. If other items have a similar status, the soonest date is used.

Message to customer: "It is too early to dispense some items, so we will prepare these for you on <<NextValidDate>>. If you require this medication more urgently, please contact the pharmacy."
