Manage patient notes and schedule tasks

How to record patient notes and create scheduled or recurring tasks in Scrypt, plus common troubleshooting.

What are patient notes and tasks?

Patient notes are supplementary records of patient interactions, medical histories, diagnoses, treatments, and progress. They help you maintain a comprehensive history of a patient's health outside their dispensing records. Scrypt lets you record, access, and manage these notes, supporting effective communication and continuity of care between patient interactions.

Tasks are reminders to complete an activity today or at a scheduled point in the future. Combined with patient notes, tasks let you re-engage with patients over multiple days, ensuring continuity of care between appointments and staff. Examples include patient appointments, service follow-ups, medication reminders, and administrative duties.

Create a note and schedule a task

  1. Search for a patient: Use the top navigation bar in ScryptHQ to search for a patient's name.

  2. Open the patient profile: Click the patient's name in the search results to open their profile page.

  3. Add a note: On the profile page, find the dark blue Add Note tab on the right, just above New Service. Click it to begin.

  4. Select a note type: Choose the appropriate Note Type from the drop-down menu. For example, to schedule a reminder to order a high-cost item, choose "$High cost item".

  5. Add an informative note: Write a note describing the task's purpose, for example "Order the patient's Zoladex".

  6. Set the start date: Choose today as the start date for the task.

  7. Configure the schedule: Toggle on I want this to repeat if the task is recurring, then configure the schedule. In this example, select "3" and "months".

  8. Create the task: Click Create Task to save it. A reminder is created on the Tasks page according to the schedule you set.


Edit and manage tasks

Edit a task

  • Return to the patient's profile and open the Notes tab.

  • Edit task details, update schedules, or mark tasks as completed.

  • For high-touch services such as baby weight monitoring, blood pressure or BGL checks, sleep apnea correspondence, or wound care management, schedule tasks with specific instructions and timelines.

Manage daily tasks

  • To find tasks scheduled for today, open the Tasks page in ScryptHQ.

  • This helps ensure timely follow-ups, daily patient care routines, and administrative duties.

Use recurring tasks

  • Schedule recurring tasks for both routine and high-touch services.

  • Set tasks to repeat at specific intervals so essential actions happen consistently.

Complete and report on tasks

  • Once a task is complete, mark it as such in the system.

  • Use task completion and note data for reporting, analysis, and decision-making.

  • This helps you monitor the progress of your pharmacy's health services and the efficiency of routine administrative tasks.


Example from our users

Creating business administration tasks

Some users create a "store" profile within their dispense system and use it for internal store communication.

They schedule repeating tasks for routine jobs such as submitting the PBS claim, sending last repeat reminders to nursing home prescribers, and publishing fortnightly rosters.

This ensures crucial administrative tasks are never overlooked and that communication between staff is clear and reliable. You can also create a "Pharmacy Staff" group to simplify workforce communication for team updates such as staff meetings and performance updates.


Troubleshooting

Tasks for customer orders not appearing on the Tasks page

Check the order exists in your ScryptHQ platform:

  • Go to the patient profile.

  • Click the Notes tab.

  • Scroll down and click History.

  • Find the task that is not showing on your Tasks page. The history shows:

    • Created Date: when the task was created.

    • Task Type: for example Customer Order, Order Cycle, Repeat Reminder, High-Cost Drug, or General.

    • Note: for example order from Scrypt.Mobile or Web Order.

    • Schedule: whether this is an automated repeating task.

    • Actioned: when the task was removed from your Tasks page.

  • This tells you when the task first appeared on the Tasks page (Created Date) and when it was removed (Actioned).

If the task exists and you do not believe it was actioned on the date listed:

  • Go to the Order tab.

  • Find the order associated with the task.

  • Send the following to Scrypt for investigation: patient name, order number, and the issue "Customer Order not displayed on Tasks page".

Tasks not appearing on the scheduled date

  • Make sure the scheduled date is correctly set to today or the desired date.

  • Check the task's scheduling configuration, including intervals and frequency.

  • Verify the task has not been accidentally marked as completed or deleted in the patient profile Notes tab.

  • If the issue continues, contact Scrypt support.

Incomplete or missing task details

  • Review the task creation process and confirm all relevant details, such as descriptions and schedules, were entered correctly.

  • Check for any system errors or interruptions during task creation.

  • Edit the task to add any missing information.

Tasks not syncing across devices

  • Verify you are using the same Scrypt account and logged in on all devices.

  • Check that each device has a stable internet connection.

  • Refresh, or log out and back in, on the devices not displaying tasks correctly.

  • If tasks still do not sync, contact Scrypt support.

Scheduled task SMS not being received

  • Verify the patient's contact information is accurate and up to date.

  • Check that reminders are being sent to the correct contact channels (SMS, email, or app).

  • Ensure the patient has not opted out of receiving reminders.

  • If reminders are still not received, review the notification settings and contact Scrypt support if needed.

Overdue notifications are inaccurate

  • Confirm task due dates and schedules are correctly configured.

  • Ensure tasks are not marked as completed before their due dates.

  • If overdue notifications remain inaccurate, contact Scrypt support.
