Managing Customer Orders in Scrypt HQ

Overview

The Orders Page is your central hub for efficiently managing and completing all incoming customer medication orders via the scrypt HQ platform. This guide will walk you through everything you need to know.

βœ… Quick Start Instructions

In Scrypt HQ:

  1. Navigate to the Orders page.

  2. Locate the customer order you'd like to process.

  3. (Z Dispense users only) Click Send to Queue to send all eligible items to your dispense software.

  4. If all items are ready, click Quick Complete.
    If not, click the [+] icon to expand the order.

  5. Update each item's status individually, then update the Order Status accordingly.


πŸ“‚ Orders Tabs Overview

At the top of the page, toggle between these tabs:

Tab

Purpose

Incoming Orders

Orders still awaiting processing (default tab).

Partially Ready Orders

Orders with some items pending (e.g. on order or too early).

Completed Orders

Finalised orders, useful for quick reference or audit.

πŸ”΄Red badges indicate the number of outstanding orders in each section.


πŸ“‹ Understanding the Orders Table

Each row represents a single customer order. Here's what the columns mean:

Column

Description

[+]

Click to expand and view all items in the order.

Status

Indicates the order's progress:
🟑 Pending, πŸ”΅ Partially Ready, 🟒 Completed, πŸ”΄ Unable to Fill.

Created

Timestamp showing when the order was created (newest first).

ID

Unique order number (click to view order in the patient’s profile).

Customer

First and last name of the patient.

Items

Total number of items in the order.

Brand Substitution

βœ”: allowed, βœ–: not allowed, –: no preference.

Delivery

βœ” for delivery, – for in-store pickup. Hover to view the delivery address.

Notes

βœ” if the customer has added notes. Hover to view.

Dispense

(Z Dispense users only)
​Send to Queue button will push all eRx, Inside Repeat and MedChart prescriptions into your dispense queue Any other items will be added to the basket as extra notes. You will be notified with success, and any unsent orders are brought to your attention.

Actions

  1. Status update the order status

    1. Pending - Default, the order has not been processed by the pharmacy.

    2. Partially Ready - The order has been partially completed with some components outstanding.

    3. Ready - The order is complete.

    4. Unable to fill - There is an issue with the order and cannot be processed by the pharmacy.
      ​

  2. Notify customer check box to determine if the customer will be notified of the update of the Order.
    ​

  3. Update Order after the status has been changed to confirm your action.
    ​

  4. Quick Complete - This green button will update the orders status to ready and update all contained items as Completed.

View Order ->

Takes you to the Customers Order within the Patient Profile.


🧾 Managing Individual Items

Expand an order with the [+] icon to view and update item statuses:

Item Status

Description

Pending

Not yet processed.

Completed

Dispensed and ready for collection/delivery.

Sent to Queue

Sent to dispense software and being processed.

On Order

Item is out of stock and has been ordered inlcuding a date of expected arrival.

Unable to Fill

Cannot be fulfilled.

Too Early

Item can't be supplied yet. Set a reminder task if needed.


πŸ”” Customer Notifications

When updating an order’s status, you can choose to notify the customer.
Simply tick/untick the blue β€œNotify” checkbox before clicking Update or Quick Complete.

Customers using the Scrypt Mobile App will see updates in real time under the Orders tab and will receive push notifications.
