Managing Orders in Scrypt HQ

How to manage and complete incoming customer medication orders from the Orders page in Scrypt HQ.

Overview

The Orders page is your central hub for managing and completing incoming customer medication orders in Scrypt HQ. This guide covers everything you need to know.

Quick start

  1. Go to the Orders page.

  2. Locate the customer order you want to process.

  3. (Z Dispense users only) Click Send to Queue to send all eligible items to your dispense software.

  4. If all items are ready, click Quick Complete. If not, click the [+] icon to expand the order.

  5. Update each item's status, then update the Order Status accordingly.


Orders tabs

At the top of the page, toggle between these tabs. Red badges show the number of outstanding orders in each.

Tab

Purpose

Incoming Orders

Orders still awaiting processing (default tab).

Partially Ready Orders

Orders with some items pending (for example, on order or too early).

Completed Orders

Finalised orders, useful for reference or audit.


Understanding the orders table

Each row is a single customer order. The columns are:

Column

Description

[+]

Click to expand and view all items in the order.

Status

The order's progress: Pending, Partially Ready, Completed, or Unable to Fill.

Created

When the order was created (newest first).

ID

Unique order number. Click to view the order in the patient's profile.

Customer

First and last name of the patient.

Items

Total number of items in the order.

Brand Substitution

Allowed, not allowed, or no preference.

Delivery

Marked for delivery or in-store pickup. Hover to view the delivery address.

Notes

Shown if the customer added notes. Hover to view.

Dispense

(Z Dispense users only) Send to Queue pushes all eRx, inside-repeat and MedChart prescriptions into your dispense queue. Other items are added to the basket as extra notes. You are notified on success, and any unsent orders are flagged.

Actions

Update the order status (Pending, Partially Ready, Ready, or Unable to Fill), tick Notify customer to send an update, then Update Order to confirm. Quick Complete sets the order to Ready and marks all items Completed.

View Order

Opens the order within the patient's profile.


Managing individual items

Expand an order with the [+] icon to view and update item statuses:

Item status

Description

Pending

Not yet processed.

Completed

Dispensed and ready for collection or delivery.

Sent to Queue

Sent to dispense software and being processed.

On Order

Out of stock and ordered, including an expected arrival date.

Unable to Fill

Cannot be fulfilled.

Too Early

Cannot be supplied yet. Set a reminder task if needed.


Customer notifications

When updating an order's status, you can notify the customer. Tick or untick the blue Notify checkbox before clicking Update or Quick Complete. Customers using the Scrypt Mobile app see updates in real time under the Orders tab and receive push notifications.
