Invoice Pay

Invoice Pay lets you upload, review, and pay supplier invoices directly from Seapoint — without switching between your bank and your inbox. Seapoint automatically extracts key details from each invoice using OCR, matches vendors to your existing recipients, and runs safety checks before you pay.

💡 Who can use Invoice Pay? Admins can upload, review, and make payments. Employees and accountants can upload and review, but only admins can approve and execute payments.


Getting invoices into Seapoint

There are two ways to get invoices into Seapoint: connect Gmail to automatically scan your inbox, or upload invoices manually.

Option 1 — Connect Gmail to auto-capture invoices

  1. Click Connect Gmail in Invoice Pay.

  2. Select how far back to scan.

  3. Log into your Google account.

  4. Grant Seapoint read-only access to your Gmail.

  5. Seapoint starts scanning for invoices.

Tip: read-only access, can disconnect anytime.

How does Seapoint decide which emails to scan?

  1. Keyword search: looks for invoice-related terms.

  2. PDF attachments only: emails without PDFs are skipped.

  3. Spam/marketing filtering: removes automated messages.

  4. Excluded senders: ignores domains you've blocked.

  5. Duplicate detection: prevents importing the same invoice twice.

Sent emails never scanned. Incremental scans auto.

Option 2 — Upload invoices manually

  1. Navigate to Invoice Pay.

  2. Click Upload invoice.

  3. Select file from your computer.

  4. Seapoint extracts details automatically.

  5. Review and save to To Pay list.

Tip: PDF only, max 10MB.

What does Seapoint extract from an invoice?

  • Vendor name, address, email

  • Bank details

  • Invoice amount, currency, reference

  • Due date

  • Line items

  • VAT info

All fields editable.


Reviewing invoices

How does the invoice list work?

Two tabs: To Pay (sorted by due date) and Paid. Each row shows vendor, amount, due date, source.

How do I review an invoice before paying?

Click to open detail drawer. Left: payment details, reference, due date, safety checks. Right: PDF preview. Fields are editable.

How does Seapoint know which invoices I need to pay?

Auto-matches against bank transactions. Unpaid → To Pay. Already paid → matched in Bookkeeping.


Paying an invoice

How do I pay an invoice?

  1. Open from To Pay.

  2. Confirm details (amount, currency, pay from, recipient, reference).

  3. Click Pay.

  4. See confirmation.

Only admins can execute.

What happens if Seapoint can't find the vendor's bank details?

Select existing recipient or add new one. Details saved for next time.

Can I mark an invoice as paid without paying through Seapoint?

Yes. Three-dot menu → Mark as paid. Optionally match to bank transaction. Moves to Paid tab.


After payment — bookkeeping

How do invoices sync to Xero?

  1. Navigate to Bookkeeping.

  2. Find invoice in transaction list.

  3. Attach as evidence if needed.

  4. Categorize and approve.

Managing your invoices

How do I remove an invoice that isn't real?

Three-dot menu → Remove invoice. Helps train detection.

Can I exclude certain email senders from being scanned?

Yes, when removing choose exclude sender. Manage in settings.

Can I delete an invoice that's already been paid?

No, for audit trail. View in Paid tab.

What file formats are supported for upload?

PDF only, max 10MB.

Can I upload multiple invoices at once?

Not currently, one at a time.

What currencies are supported?

Any currency you have a Seapoint account for.

Does Seapoint read invoices that aren't in English?

Best with English. Other languages may vary. Can correct fields.

Is my Gmail data safe?

Read-only OAuth, only invoice-related emails scanned. Disconnect anytime.

Who can see invoices in Seapoint?

All team members with access. Only admins can pay.
