Follow this SOP to selectively reduce consumed quota for specific customer plans, avoiding the need for complete quota reallocation and minimizing service disruption.

πŸ“Œ What to do

Use the Refund function in the QP admin to reduce the consumed quota for a specific resource within a customer’s assigned plan.

🌟 Why it matters

It allows support and ops teams to manually correct overconsumption or system miscounts without resetting the full quota. This creates a precise and auditable quota correction flow.

πŸ› οΈ How to do it

  1. Go to the QP admin:
    quantumpuppy.com/admin/customer/customerplan/[PLAN_ID]/change/

  2. Scroll to the Quota Usage section.

  3. Locate the resource you want to adjust

  4. Click the Refund button on the right under the Actions column.

  5. In the refund screen:

    • Confirm Current Usage and Total Allowed values.

    • In the Refund Amount field, enter the number of units to refund (max = current usage).

    • Click Apply Refund.

  6. A green success message will confirm the action:
Successfully refunded [X] units of [resource] quota

  7. The Consumed value in the quota table will update accordingly.

❌ Common mistakes to avoid

❌ Refunding the wrong resource line (e.g. similar names like allowed_pages vs allowed_site_auditor_pages)

❌ Attempting to refund more than the current usage (maximum is limited but still editable)

❌ Misunderstanding β€œRefund” as β€œReset” β€” Reset sets usage to zero; Refund subtracts a defined amount

❌ Not validating that the resource type allows refund (some resources may be non-refundable)

❌ Skipping the confirmation step β€” always check for the green success banner

❌ Assuming the refund updated automatically in customer-visible areas (it reflects in admin, not necessarily in user dashboard)

πŸ’‘ Pro Tip

Start by identifying the resource with the highest discrepancy between expected and consumed usage. Prioritize those for quota refunds.

βœ… Once done, the refund takes effect immediately. Logs and consumed values are updated in real time within the plan’s admin view.
