Sellar will create an invoice in Xero at one of two moments:

  • When you request pro-forma payment from a customer while the order is in the requested state.

  • Or, if you don’t request pro-forma payment, when you finalize an order from a customer.

Before finalizing an order for an existing customer on Sellar (someone who you know exists as a contact in Xero), it is best practice to set their Xero Contact ID. To do this, see this guide:

Confirming successful invoice creation

You can check if an invoice was created successfully without needing to look at Xero. In Sellar, for a particular order, click the three-dot menu and select “Edit order details.”

In the ‘Custom invoice number’ field, you should now see the invoice number from Xero. To avoid any complications, this field is locked after the order is confirmed.

The added benefit here is that the invoice number is used on the PDF invoice we make available to your customer in Sellar. This ensures easy access to the invoice and allows customers to quote the invoice number when paying via bank transfer, ensuring smooth reconciliation.
