Notifications and Email Alerts in Your Account

This guide explains when you’ll receive in-app notifications and email alerts in our system.

In-App Notifications

In-app notifications appear in your notification center (the bell icon in the top navigation) and help you stay informed about important activities in your account.

When You’ll Receive In-App Notifications

Submission Activity:

  • Submitted for Review - When a client submits a completed form for your review

  • New Inbound Submission - When someone fills out and submits a public form you’ve created

Signature Packet Activity:

  • Document Signed - When someone signs your signature packet

  • Payment Processed - When a payment is successfully processed on a signature packet

  • Carrier Viewed Document - When an insurance carrier views the signed documents you sent them

  • Carrier Downloaded Document - When an insurance carrier downloads the signed documents you sent them

Notification Distribution

Notifications can be sent to different users depending on your account settings:

  • Send to all team members (if enabled in account settings) - All professional users in your account will receive the notification

  • Send to specific users (default) - Only relevant users receive the notification:

    • Submission assignees receive submission-related notifications

    • The signature packet creator receives signature-related notifications

    • The user who sent documents to a carrier receives delivery-related notifications

Email Alerts

Email alerts are sent automatically to keep you and your clients informed about important events.

Account Management Emails

Team Member Invitations:

  • New User Invitation - When you invite a new team member to your account, they receive an email with instructions to set up their password

  • Password Reset - When someone requests a password reset, they receive an email with reset instructions

  • Resend Invitation - You can resend the setup email to any team member who hasn’t completed their account setup

Submission Emails

User Notifications:

  • Submission Review Email - When a client marks a submission as “ready for review,” an email is sent to:

    • All assigned team members (if no specific assignees are set)

    • All professional users in the account (if “send to all members” is enabled)

Client Invitations:

  • Submission Invitation Email - When you invite a client to fill out a submission form, they receive an email with a secure link to the form

Signature Packet Emails

Signing Invitations:

  • Signature Request Email - When you send a signature packet for signing, each signer receives an invitation email with:

    • A secure link to review and sign the documents

    • Any custom message you included

    • Your email signature (if configured)

Signing Completion:

  • Signed Confirmation (to Signer) - After someone signs your documents, they receive a confirmation email with:

    • A copy of the signed PDF attached

    • A download link for their records

  • Signing Complete (to Sender) - When an individual signer completes their signature, you receive an email with:

    • Notification of who signed

    • A copy of the signed PDF attached

  • All Signatures Complete - When everyone has signed the signature packet, you receive a final email with:

    • Confirmation that all parties have signed

    • The complete signed PDF attached

Carrier Delivery:

  • Send to Insurance Carrier - When you send signed documents to an insurance carrier, they receive an email with:

    • The signed documents as a PDF attachment (if under 25MB)

    • A zip file (if files exceed 25MB)

  • Your custom message with personalized fields (e.g., underwriter name)

  • Your email signature

Email Customization

Several emails support customization:

  • Signature invitations - You can customize the subject line and include a personal message

  • Carrier delivery emails - You can customize the subject and message, including dynamic fields like the underwriter’s name

  • User email signature - Configure your email signature in your account settings to appear in signature invitations and carrier emails

Managing Notifications

In-App Notifications:

  • Mark notifications as read by clicking on them

  • View all your notifications in the notification center

  • Unread notifications are highlighted with a badge

Email Notifications:

  • All emails are sent automatically based on actions in your account

  • Contact your account administrator if you need to adjust team-wide notification settings

  • You can configure your account to send submission review notifications to all team members or only specific assignees
