Notes

Notes let you and your team leave comments on any Insured or Submission. They’re a great way to track decisions, flag follow-ups, or keep everyone in the loop — all in one place.

Notes let you and your team leave comments on any Insured or Submission. They’re a great way to track decisions, flag follow-ups, or keep everyone in the loop — all in one place.

Where to find Notes

There are four ways to open the Notes panel:

1. Notes badge on the Insureds or Submissions table

When an Insured or Submission has at least one note, a small badge showing the note count appears next to its name in the table. Click the badge to open the Notes panel for that record.

2. Row action menu

Hover over any row in the Insureds or Submissions table to reveal the menu on the right side of the name. Click New note to open the Notes panel, even if no notes exist yet.

3. Submission workspace

Inside a submission’s workspace, click the menu in the top navigation bar and select Notes to open the panel for that submission.

4. Insured detail page

On the detail page for any Insured, click the Notes tab in the left sidebar to open a full-page notes view for that Insured.


Creating a note

  1. Open the Notes panel using any of the methods above.

  2. Click inside the text field at the top of the panel.

  3. Type your note. You can write plain text, mention teammates (see below), or include multiple lines.

  4. When you’re ready, click Add note or press Shift + Enter.

The note will appear below the text field with your name and a timestamp. Notes are ordered from most to least recent.


Mentioning teammates

You can @-mention any member of your agency directly in a note to notify them.

  1. While typing a note, type @ followed by any part of a teammate’s name.

  2. A dropdown will appear with matching names from your agency.

  3. Select a teammate:

    • Click their name in the dropdown, or

    • Use the ↑ / ↓ arrow keys to highlight a name, then press Enter to select.

  4. Their name will appear highlighted in blue in the note (e.g. @Jane Smith).

  5. When you save the note, the mentioned teammate receives a notification.

To close the dropdown without selecting anyone, press Escape.

Note: Mentions only send notifications when the note is first created. Editing a note later will not re-notify anyone.


Editing and deleting notes

Hover over any note to reveal the icon on the right side of the note. Click it to see the Edit and Delete options.

  • Edit opens the note in an inline text field. Make your changes and click Save, or press Shift + Enter.

  • Delete permanently removes the note.

Only the author of a note can edit or delete it. If you’re viewing a note written by someone else, the Edit and Delete options will be disabled.

Notifications

When you are @-mentioned in a note, you’ll receive a notification in the bell menu at the top of the page. The notification shows:

  • Who wrote the note

  • The Insured or Submission the note is about

  • A preview of the note body

Click the Insured or Submission name in the notification to jump directly to the relevant page.
