The VIN Decoder automatically fills in vehicle details — year, make, model, and body type — using the VIN numbers already entered in your Vehicles table. Instead of looking up each vehicle manually, you can decode an entire table in seconds.
Where to find the VIN Decoder
The Decode VIN button appears in the Vehicles data table inside any submission. You’ll find it in two places:
Toolbar: In the top-right area of the Vehicles table, next to the Add Row and Import buttons.
Bulk actions bar: When you have rows selected, the Decode VIN (N) button appears in the floating action bar at the bottom of the table alongside other bulk actions.
How to use it
Decode all vehicles at once
Open the Vehicles table in a submission.
Click Decode VIN in the toolbar.
The app will look up every row in the table and fill in any missing details.
Decode specific vehicles
Select the rows you want to decode using the checkboxes on the left.
Click Decode VIN (N) in the bulk actions bar that appears at the bottom of the screen (where N is the number of selected rows).
Only the selected rows will be processed.
While the lookup is running, affected cells will show “Enriching…” until the results come in.
What gets filled in
The VIN Decoder reads the VIN from the VIN column and fills in the following fields — but only if they are currently empty:

Make | The manufacturer (e.g. Ford, Toyota) |
Model | The specific model (e.g. F-150, Camry) |
Body type | The vehicle body style (e.g. Sedan, SUV, Pickup) |
Existing values are never overwritten. If a cell already has a value, the decoder will skip it.
Requirements
The VIN column must be filled in for a row to be decoded. Rows without a VIN will be skipped and counted as failures.
The VIN Decoder only works in the Vehicles table. It is not available in other data tables.
Error messages
If one or more vehicles could not be decoded, you’ll see an error notification at the bottom of the screen after the job completes. The most common message is:
Failed to enrich X vehicles because they did not have a VIN listed
This means those rows had a blank VIN column. Fill in the missing VINs and run the decoder again.
If only some rows fail (for example, a mix of valid and missing VINs), the notification will still show an error for the failed rows. Successfully decoded rows will still be updated.
Notes
Results are cached. Once a VIN has been decoded, running the decoder again on the same row will not make a new lookup — the cached result will be used. If you need a fresh lookup, contact your administrator.
Coverage depends on the VIN. The decoder uses an external vehicle data provider. Obscure or non-standard VINs may return incomplete results.
