Managing jobs and time allocated in Service Geeni

If you need to allocate or adjust time on a job, you can do this via the Job Details page.

To get there:

  • Head to Job control

  • Select the Job.

  • Then, on the Edit Job Details page, select the Time tab.

  • Click on the + Book Engineer Time button.

The Book Engineer Time window will open allowing you to change vital details.

For Changing Time you need to fill in the Activity Type and Hours Start/End fields for the Travel and Labour sections.


Activity Type

You can add an existing or create a new Activity type via the ellipsis (...).

  • Choose an option from the list.

  • You can also create a new type with the +Add button.

  • Enter the Activity Type name.

  • Under Category from the drop-down choose the Category for the newly created Activity type.

  • Select Link To Job.

  • Click Save.

  • Finally, add the required time using the Stopwatch icons.


Adjusting Time Booked

You can adjust the booked time on a job with a few simple clicks.

To adjust the date and time.

  • Click the Edit icon via the Action Tray.

  • You can adjust the date via the Date field and alter the time with the Stopwatch icon.


Booking time over days (Midnight)

The entry will show as two separate entries when booking past midnight. You can see in the example below the time goes from 11 pm on 26th November to 2 am the next day 27th November.


Activity Type Settings

Changing and Reviewing Activity Type Settings

Within the Activity Types, you can set the rules for how the time is allocated. This is done using the settings below.

Category

  • The category of how time might be charged - this is also useful for reporting.

Link to Job

  • When ticked the time booked will link to the job.

Use on Completion

  • This makes the activity available on the screen where you select your next activity that appears after you complete a job.

Available on Mobile

  • This will display the Activity Type to Mobile users and enable them to select it.

Book to Previous Job

  • This check box will book any time allocated to this activity type to the Previous job.

Requires Reason

  • Having this enabled will prompt the engineer for a reason when Using this Activity Type.

  • If you select this activity on the mobile you then have to add a reason for selecting that activity. A text box will open for you to type the reason in.

You can adjust the settings as required - for example, you may want to un-tick "Book to Previous Job" if you do not want "Travelling to Home" time to book onto the last job.

Remember, this adjustment will be set for this Activity Type, so it will apply to all Time recorded when it is used.

In the below example, these are the settings for Activity Type β€œTravelling to Home”

  • Category = Travelling.

  • Link to Job = On.

  • Use on Completion = On.

  • Available on Mobile = On.

  • Book to previous Job = On.

  • Requires Reason = Off.

  • Check for Full Audit Scan = Off.


Engineer Timesheets

Activity and Time not booked to a Job

In the example below the Time is not currently booked to any job. Here you can see there is No job number next to the Activity "Traveling to Depot" This time would not show on the job sheet because it isn't allocated to that job.

You can amend this in the Engineers Timesheets menu and allocate that time to the job.

  • Go to Engineer Timesheets via the Finance menu.

  • Now, find the entry in question and click edit using the Action Tray.

This will open the Edit Task Time window.

To allocate time to a job you will need to uncompleted the job (if already completed) once re-completed the job sheet will regenerate.


Un Complete a Job

If the job is completed you may need to Un Complete it (keep a note of the original completed date and time) if you need to change the time booked.

You can find the complete date a time on the Overview tab in the job at the bottom right.

  • From Job Control, Select Job.

  • Click the Action Tray.

  • Use the Blue arrow - to Un Complete a job.

You can now add and adjust time on the job as required, complete once finished.

  • Click on the ellipse, next to the Job field.

  • Select the correct Job number for that Activity time to be booked to the job.
