Overview
To make your day-to-day scheduling faster and more intuitive, we are excited to introduce the Planner in HUB. Think of the Planner as your visual workspace and central command area for managing technician schedules, job assignments, and real-time changes.
Key Capabilities:
Monitor work order assignments and statuses in a single view
Update assignments via drag-and-drop functionality
Adjust job start/stop times and durations
Filter by specific teams or individual resources
Export daily schedule data to CSV format
*Note: Planner is not available on small form factor devices such as mobile phones.
Configuration & Setup
Before daily use, configure the Planner settings by navigating to User Configuration > Company Settings > Planner Settings.
Core Settings
· Refresh Interval: Set the number of minutes (default: 5) between automatic data refreshes.
· Default Duration: Set the standard length for manually created work orders (default: 60 minutes).
· Work Order Type Duration: (Optional) Assign custom durations to specific job types, such as "Install" or "Repair".
· Business Hours: Define a Start and End time for the workday; the Planner can be toggled to hide hours outside of this range.
Resource Breaks (Optional)
You can input specific break periods for resources. While these display in the Planner, they do not block assignments. Note that a job scheduled over a break will visually expand its duration to include the break time.
Display Customization
You can toggle which data fields appear in the following areas:
· Tool Tips: Information shown when hovering over a job.
· Work Order Slots: Summary data shown directly on the calendar block.
· Unresourced Summary: Data fields shown in the unresourced job list.
Navigating the Planner View
The interface is divided into three primary functional areas:
1. Date & Time Parameters: Manage the display date, time zone (Eastern, Central, Mountain, Pacific, or Greenwich), and hour scope.
2. Search & Filter: Find specific teams, resources, work orders, or customers for the currently displayed day. Successful search results will be outlined with a red border
3. Manage Work Orders: Perform active dispatching tasks like changing assignments or creating new orders.
Time & Calendar Controls
· Calendar Icon: Select a specific date from a month view.
· Navigational Arrows: Move forward or backward by one day or one week.
· Blue Dot: Quickly return to the current day's view.
· Hide Non-Business Hours: Toggle this "ON" to only see the hours configured in Company Settings.
Managing Resources and Assignments
Filtering Resources
· Team Filter: Use the toggle control to collapse or expand specific named service teams.
· Search Resources: Type a name into the search box to filter the list in real-time.
· Resource Info: Click the icon to the left of a technician’s name to view their contact details and role.
Handling Work Orders
To View Details in the Planner, hover over a job for a quick summary or click it to open the full Job Details window.
Manage work orders:
· Reassign or Reschedule: Drag a work order to a new resource or a different time slot
· Unresourced Jobs: Click the Unresourced icon (shown below) and enter a date range or order number to find jobs currently lacking an assigned technician. To assign a technician, drag the target job to a technician in the Planner
· Schedule an Ad Hoc Job: Click the Add button to create a new work order and add to the schedule
· Work Order Status: Click the Legend icon (shown below) to view color-coded job statuses
· Export: Click the Export icon to export and download a CSV of the current view (format: WorkOrderList_mm_dd_yyyy.csv)
