Overview:

The Account Settings is the second menu found in ServicePower HUB. The options found in the Account Settings are used to build and edit user and company profiles. This menu is also where information such as brands, products, organization services, business hours, and availability schedules can be defined.

Locating The Account Settings:

The Account Settings can be accessed by clicking the drop-down arrow next to the profile icon in the upper right corner of every page. This will expand the menu, revealing the top-level option for the menu.

Account Settings Option Definitions:

My Account


The first option in the Account Settings is "My Account". This option allows for the current user logged into HUB to view and edit their account profile. When first opened, the view-only view will be displayed for "My Account". To open the edit page, click the blue edit button at the bottom of the view-only page.

Below outlines the fields that can be edited. Areas listed under required indicate the fields that must be filled out when creating a new user account.

Required:

  • Contact Name: The account holder's first name of the user


  • Last Name: The account holder's last name of the user


  • Mobile number: The account holder's cell phone number


  • Email Address: The account holder's email address (This will be used as the user name when logging onto HUB.)


  • Role: The access level the account holder will have over HUB.


  • Password: The password for the account used to log into HUB.


Optional:

  • Profile Image: Account profile images has a maximum size limit of 150px X 150px. It is not required for a new account to be created.


  • Business Contact Number: The work number of the account holder. It is not required when building a new account profile.


Business Profile


Similar to the My Account option, the Business Profile is where an organization's details live in ServicePower HUB. Information such as the point of contact, address, and servicer type can be found here.

The Business Profile option includes four sub-headers, with each header resolving to its corresponding section on the view-only page of the profile. (IE: clicking Point of Contact from the sub-menu options will open the profile view-only page.

Business Profile from Dashboard:

The Business Profile option can also be accessed from HUB's dashboard in the first panel. It is one of four options required to build the organization's profile and configure the settings. Once the profile has been created and saved, the profile progress bar will update.


Availability


Overview:

This option defines the parameters in which appointments can be requested for booking. This option also allows for the definition of the holidays observed by an organization.

The settings in the Availability option are global, applying to the entire organization. They also directly affect how work orders are scheduled. It is essential to ensure all data input in Availability is accurate. Any data that is out of line from business operations could result in missing critical bookings.

Summary Page:

Clicking on any sub-options listed under Availability will open the availability page. This page shows the current global configuration for when and how appointments can be booked into the system. HUB has included the ability to view the previous, current, and next year by clicking on the year above the displayed holiday schedule on the left.

To change these settings, click the blue Edit button at the bottom of the page.

Sub-Options:

Availability includes four sub options Service Offerings, Time Bands, Cut off Time, and Holidays, which can be found by clicking the drop-down arrow on the right. When clicked, each sub-option will navigate to the Availability configuration summary page, with the clicked options section being the closest to the top as possible.

Definitions and Editing Sub-Options:

Service Offerings

The Service Offering section sets the rules on who can book an appointment providing three options.

  1. Offers Date and Time Appointments:

    This will provide a list of available slots for the customer.

  2. Servicer Will Schedule with the Consumer:

    The servicers will need to contact the customer requesting the service to set up an appointment.

  3. Must call Servicers for Appointments:

    Once the request has been made by the customer, they then must call the servicers to book an appointment.

How to Edit Service Offerings:

  1. From the edit page, scroll to the top to locate Service Offerings.

  2. Choose one of the listed options by clicking on the radial button to the left.

  3. If no other edit is required, scroll to the bottom of the page and click the blue Save button at the bottom of the page to return to the summary page.


Time Bands

This section defines the periods in which appointments can be booked for service. Rules can be applied to the entire day or periods of the day. It should be noted that these rules will follow the designated hours of operation.

  1. Column One: Day periods

    The first column denotes the period of the day and designated hours during which a booking can be scheduled. Example: For Mornings (8:00 to 12:00) would mean every morning of regular business operating hours, a booking can be set for 8:00 am until 12:00 pm.

  2. Column Two: Assign no Later Than

    This column defines the rule applied to the selected time band using the final two columns. The rule states that new bookings can not be scheduled any later than the hour indicated in the last two columns for the selected time band. Example: For morning bookings from 8:00 am to 12:00 pm, all requests must be made before pm from a select day. The select day is defined in the Cut off sub-option.

  3. Column Three: Hour selection

    This column is to select the hour in which service requests must be made for the select time band.

  4. Column Four: AM/PM

    This column specifies whether the specific hour selected in column three is for the mornings or afternoons.

How To Edit Time Bands:

  1. Think of a rule that needs to be created

    Rule Example: For appointments during the mornings of operation hours, all booking requests must be in by 1:00 pm the previous day.)


  2. Using the above as an example, click on the day period labeled 'morning (8:00-12:00)'. From the first column


  3. In the thirst column on the same row as the day period, click the drop-down list and click 1:00.


  4. Finally, in the fourth column of the same row, click the drop-down list and click pm.


  5. Once the required rules have been built, click the blue 'Save' button at the bottom of the page.
