1. Why am I seeing a variety of assets/templates when I first log in? Is there an order to how they're displayed?

The system is designed to show the most recently uploaded or created assets first. You can change how the assets are sorted via the dropdown next to the upload button. If you want to find specific assets, using the search and filter tools will help narrow down your results.


2. How do I find assets in Adbuilder?

Adbuilder provides powerful search and filter functionality to help you quickly find the assets you need.

Searching for Assets:

  • Use the Search Bar at the top of the Asset Library to find assets by keyword.

  • Search results will display all assets that match your keyword in titles, Tags, Categories and descriptions.

  • Be aware that different naming conventions may impact search results (e.g., "CHR" vs. "C-HR"). The latest models follow a new naming structure that does not include "C-HR" without the hyphen.

Filtering Assets:

  • Click on the Types, Categories and Tags under the Filters of your Asset Library.

  • You can also choose to filter by your Asset Access under 'Shared with Me'.

  • Use Tags to further refine your search (e.g., model name, colour, production year, vehicle angle).

  • Apply multiple filters simultaneously to narrow down your results.


2. Why can’t I see all Assets?

If you can't find a specific asset, try the following:

  • Check your search term – spelling errors or overly broad terms may return unexpected results.

  • Adjust your filters – make sure you haven’t set filters that exclude the asset you’re looking for.

  • Verify your access – some assets may not have been shared with you.

  • Refresh the page – occasionally, assets may take a moment to load properly.



3. I am not getting any results from my search. What should I do?

If you are struggling to find specific assets:

  • Check your search term – ensure correct spelling and avoid overly broad terms.

  • Remove unnecessary filters – sometimes filters can limit results too much.

  • Try using fewer words – a shorter search query may return more relevant results.

  • Use filters instead of search terms – keywords may not always match exactly, but filtering by category and tags will help.

  • Check with your regional manager – some assets may not be available yet or may be named differently.


4. How do I find specific vehicle images (360 images, car shots, CGI vehicle images)?

To locate vehicle imagery:

  • Select 360 Vehicle Images from the Category list.

  • Choose the model name from the subcategory.

  • Scroll down to Tags and search for specifics such as paint colour, production year, trim level, and vehicle angle.

  • Example:

    • Category: 360 Vehicle Images > Hilux 4x4

    • Tags: Glacier White, 2023, SR5, Angle 009

Alternatively, you can enter a detailed search query, such as: Hilux SR5 2023 Angle 009 Glacier White 4x4

This method may return additional assets with slight variations, such as different years or angles. Filtering using tags will help refine your results further.


5. How do I find campaign materials?

  • Use the Search Bar at the top and enter the campaign name.

  • Apply Tags in the filter panel to narrow down results by medium or size (e.g., "Farmers Campaign" + "Social Media").

  • If you are unsure of the campaign name:

    • Navigate to the relevant Department Category (e.g., "Toyota Finance").

    • Select "Campaigns" and use the Tags filter to search for "Campaign."

    • Or try a broad search like "Finance Campaign" to see the most recent campaign assets.


7. Why do some searches return different results for similar terms (e.g., TCPO vs. Toyota Certified Pre-Owned)?

There are multiple versions of asset tags due to legacy system carryover and varying dealer terminology.

  • Searching TCPO under Categories may return fewer results than searching TCPO as a Tag.

  • Clicking on a tag with a higher result count will update the category view to show all available assets.

  • If standardising tag formats would be beneficial, please provide feedback so this can be addressed.


8. Can I download assets?

Yes, if you have the necessary permissions.

  • Click on the asset you want to download.

  • Select the Download button and choose your preferred file format.

  • If you see an approval request instead, the asset requires approval before downloading.


9. How do I navigate multiple pages of search results?

  • The system is designed to minimize the need for excessive scrolling by prioritizing relevant results.

  • A maximum of 21 pages is displayed to ensure speed and efficiency.

  • If you have too many pages of results, try refining your search using filters and tags.

  • If necessary, you can manually type in a page number instead of clicking through pages.


10. Why do some assets not show a preview image?

  • Some file types (e.g., ZIP, AI) do not support automatic previews.

  • If a preview is needed, a cover image can be uploaded manually.

  • If an expected preview is missing, check for possible connection issues or corrupted files.


11. I still need help. What should I do?

If you're experiencing issues that aren't covered in this FAQ:

  • Use the Intercom chat to contact support.

  • Provide details such as the asset name, filters applied, and any error messages received.
