Understanding Comment Templates

Comment Templates are reusable presets that help reviewers leave consistent comments during claim and pre-approval reviews.

What are Comment Templates

Comment Templates are predefined comment options that help reviewers provide clear, consistent responses when taking review actions on Claims or Pre-Approvals. They streamline the review process by serving as starting points that can be customised if needed.

This feature improves reviewer efficiency, reduces repetitive typing, and ensures professional communications across your Fund workflows.

💬 Note: Comment Templates can be selected when reviewing a Claim or Pre-Approval and can be edited before submission.


What’s Changed 🚀

Previous Process

  • Comments were previously known as Remarks and Comment Templates were known as Preset Remarks.

  • These were defined per Fund and had to be set up individually for each Fund.

  • All templates appeared for all review actions (e.g. Reject, regardless of context.)

  • Duplicate Comment Templates with the same name and content could be made across Funds.

New Process

  • Comment Templates are now managed centrally in Settings and apply across all Funds.

  • Preset Remarks are now called Comment Templates, and Remarks are now called Comments.

  • Comment Templates can be assigned to one or more of six specific review actions (e.g. Claim Approval, Pre-Approval Rejection).

  • Comment Templates only display when relevant to the selected review action.

  • New Comment Template names must be unique and duplicates must be adjusted when editing.


How to Set Up A Comment Template

  1. Go to Settings > Comment Templates.

  2. Click Create Template.

  3. Enter a Unique Name for the template.

  4. Add the content to be used as the starting comment.

  5. Toggle Is Active to enable or disable the comment.

  6. Under Available For, select which actions this template should appear for:

    1. Pre-Approval

      1. Approve

      2. Reject

      3. Request Revision

    2. Claim

      1. Approve

      2. Reject

      3. Request Revision

  7. Click Save.

💬 Note: Template names must be unique. A validation message will appear if a duplicate name is entered.


How to Edit a Template

  1. From the Comment Templates list, click Edit next to a template.

  2. Update the name, content, or availability as needed.

  3. Click Save


How Comment Templates Work

When a reviewer takes action on a Claim or Pre-Approval, templates assigned to that specific action will be shown. This helps reduce clutter and ensures that only relevant templates are available in context.

When a Comment Template is selected it will auto-populate the comment field with the template text.

The Comment field can be freely edited before submission. They are not locked and act as helpful starting points.


Filtering and Search

Use the Comment Templates list view to locate and manage templates more efficiently:

  • Status Filter: Show only Active or Inactive Comment Templates.

  • Action Filter: Filter by the review actions the template is available for.

  • Search: Search by comment Template name only.


FAQ

Why can’t I see any template when reviewing a claim?

If you can’t see any template when reviewing a claim, check that Comment Templates have been assigned to the specific review action being performed.

Can a Comment Template be used for multiple actions?

Yes a Comment Template can be used for multiple actions. During setup, assign the template to any combination of the six available review actions.

Can Comment Templates be edited later?

Yes Comment Templates can be updated or deleted at any time from the settings page.

What happened to Remarks and Remark Presets?

Remarks and Remark Presets have been renamed to Comments and Comment Templates, to improve clarity and standard language across the platform.
