Creating a Data block in Sesimi is a straightforward process that allows you to organise and manage your asset metadata effectively. Below are detailed step-by-step instructions to help you set up a Data block.

Step-by-Step Instructions

  1. Navigate to the Data block Section in Settings

    • Log In: Access your Sesimi account with your username and password.

    • Settings Menu: Click on the 'Settings' icon, typically found in the main navigation bar or user menu.

    • Data block Section: Within the Settings, locate and select the 'Data blocks' option to enter the Data block management area.

  2. Click on 'Create Block'

    • Create New Data block: In the Data block management area, click on the 'Create Block' button to initiate the creation of a new Data block.

  3. Give the Data block a Title and Description

    • Title: Enter a specific and descriptive title for your Data block in the 'Title' field. This should clearly represent the type of data the block will contain.

      • Tip: Use a naming convention to maintain consistency. For example, for vehicle-related Data blocks, you might start titles with 'Vehicle_', such as 'Vehicle_Details'.

    • Description: Provide a brief description in the 'Description' field to explain the purpose and contents of the Data block. This helps other users understand its function at a glance.

    • Avoid Confusion: Ensure the title is unique and not easily confused with other Data blocks. Clear and specific titles improve usability and data management.

  4. Add the Fields You Want to Include

    • Add Fields: Click on the 'Add Field' button to begin adding metadata fields to your Data block.

    • Define Fields: For each field, specify:

      • Field Name: The label for the data you want to collect (e.g., 'Brand', 'Model', 'Year').

      • Field Type: The kind of data the field will hold (e.g., text, number, date, dropdown).

    • Example: If creating a Data block for movies, your fields might include:

      • Film Title (Text)

      • Director (Text)

      • Release Year (Number)

      • Lead Actors (Text)

      • Awards Won (Text)

    • Repeat: Continue adding fields until you've included all the necessary metadata categories for your assets.

  5. Alternatively, Upload a .CSV Template

    • Download Template: If you prefer to bulk upload data, click on 'Download CSV Template' to obtain a spreadsheet template tailored to your Data block fields.

    • Populate Spreadsheet: Open the .csv file in a spreadsheet program (e.g., Microsoft Excel, Google Sheets) and fill in your data under the appropriate columns.

      • Ensure Accuracy: Double-check that each piece of data aligns with the correct field to prevent import errors.

    • Upload Spreadsheet: Return to Sesimi and click on 'Upload CSV' or 'Import Data' to upload your completed spreadsheet.

    • Data Mapping: If prompted, confirm that the fields in your spreadsheet match the Data block fields.

  6. Add the Records You Want

    • Manual Entry: If not using the .csv upload, you can manually add records:

      • New Record: Click on 'Add Record' or 'New Entry'.

      • Fill Fields: Enter the relevant data into each field for that record.

      • Save Record: Click 'Save' or 'Add' to store the record in the Data block.

    • Repeat: Add as many records as necessary to build your Data block's dataset.

  7. Save and Finalise

    • Review Entries: Before finalising, review your fields and records to ensure all information is correct and complete.

    • Finalise Data block: Click on 'Save', 'Done', or 'Finalise' to complete the Data block creation process.

    • Confirmation: You should see a confirmation message indicating that your Data block has been successfully created.

Tips for Effective Setup

  • Establish a Naming Convention: Develop a consistent naming strategy for your Data blocks and fields. For example, start all product-related Data blocks with 'Product_' (e.g., 'Product_Specifications').

  • Plan Your Fields Carefully: Before adding fields, plan out all the metadata you need to capture. This foresight helps prevent the need for future modifications.

  • Use Clear and Descriptive Field Names: Ensure that each field name clearly describes the data it contains, which aids in data entry and future reference.

  • Test with Sample Data: If possible, test your Data block with a few sample records to verify that all fields function as intended.

  • Utilise Drop-downs for Consistency: Where applicable, use dropdown fields to standardise data entries and reduce typos or variations.

  • Document Your Data blocks: Keep a separate record of your Data block structures and purposes, especially if multiple team members are involved.

Example Scenario

To illustrate, let's revisit the example of creating a Data block for a Toyota Yaris asset:

  • Data block Title: 'Vehicle_Details'

  • Description: Metadata for vehicle assets including brand, model, grade, year, colour, and disclaimers.

  • Fields Added:

    • Brand (Text)

    • Model (Text)

    • Grade (Text)

    • Year (Number)

    • Colour (Text)

    • Disclaimer (Text)

  • Adding Records: Enter specific vehicle details under each field, such as:

    • Brand: Toyota

    • Model: Yaris

    • Grade: ZR

    • Year: 2019

    • Colour: Arctic White

    • Disclaimer: This model and grade in the Arctic White colour is only available from select dealerships.

By following these steps, you've successfully created a Data block that can be associated with relevant assets. This Data block now enables:

  • Automatic Inclusion of Disclaimers: When creating content or ads, the disclaimer field can be pulled directly from the Data block.

  • Permission Control: You can limit asset permissions to specific dealerships based on the metadata, ensuring assets are used appropriately.

By meticulously setting up your Data blocks, you enhance the organisation and utility of your asset metadata, making your workflow in Sesimi more efficient and effective.
