ShareGate workspace admin settings

ShareGate workspace admins can access specific settings to manage their subscription and workspace access.

A ShareGate workspace admin can:

  • Invite new users to the workspace and assign them as admins or contributors.

  • Grant and revoke access to ShareGate products for any member.

  • Remove members from the workspace.

  • Change any member's role, including other admins.

  • Monitor and revoke ShareGate Migrate activations for any member.

  • Modify the workspace subscription.

Access workspace admin settings

You can find admin settings in the sidebar when you access your account or workspace overview.

You can also access these settings by clicking your workspace name in ShareGate Home and selecting Members or Subscription from the dropdown menu.

Seat allocation mode

Workspace admins can choose how activations are distributed to their ShareGate workspace members.

Note: Seat allocation mode is only available on workspaces with a ShareGate Enterprise subscription.

There are two seat allocation modes:

  • Shared (default): Activations are drawn automatically from the workspace pool when a member connects. No admin action is required.

  • Per member: Admins must assign a number of activations to each member before they can use ShareGate Migrate. Members with no assigned activations see a message directing them to contact their admin.

How to change the allocation mode

To switch modes, select Workspace overview in the sidebar, then click Switch to Per member or Switch to Shared.

A confirmation will appear. Click Confirm to apply the new allocation mode.

When you switch from Shared to Per member, an activation is automatically assigned for each activation used by the workspace members.

For example, if you have a member with ShareGate Migrate activated on 2 machines, they will have 2 activations assigned to their account, and you will need to assign an extra activation if they want to activate a third machine after switching to Per member.

Members

On the Members page, you can review and manage the members of your workspace.

Your members are listed with the following columns, which you can use to sort and review:

  • User: The name or email of the member (email is used when an invite was sent and has not yet been accepted).

  • Role: If the member is an Admin or Contributor.

  • Joined: The date the member joined the workspace.

  • Product access: Lists the ShareGate products the member has access to.

  • Activated: The number of ShareGate Migrate activations used by the member.

  • Activations assigned: This column replaces Activated on workspaces with a ShareGate Enterprise subscription that have the Seat allocation mode setting set to Per member.

Manage members

You can click on the three dots at the end of a member's row to manage their:

  • Role: Select Manage member, and you can change their role to Admin or Contributor.

  • Product access: Select revoke product access to remove access to all ShareGate products. Select Manage member to select whether the member should have access to ShareGate Migrate, ShareGate Protect, or both.

  • Machine activations: Select Manage member to review that member's ShareGate Migrate activations. You can click on the trash can icon next to an activation to deactivate a specific install of ShareGate Migrate for that member.

    • On workspaces with a ShareGate Enterprise subscription that have the Seat allocation mode setting set to Per member, you can change the number of activations a member has access to with the Assigned activations dropdown.

  • Workspace membership: Select Remove from workspace to remove a user from your workspace. You can also select Manage member, then click the Remove member from workspace button.

  • Invitation to the workspace: When an invite to the workspace is sent, before it's accepted, you have the option to resend or cancel the invite.

Add new members

Click the Add member button to invite members to your workspace.

To invite a new member, enter their email address and select their role (admin or contributor) from the dropdown.

On workspaces with a ShareGate Enterprise subscription that have the Seat allocation mode setting set to Per member, use the Activations field to assign one or more seats to the new member.

Click the Add + button to invite multiple members to your workspace at once.

Note: When inviting someone to a ShareGate workspace, use their regular business email address.

Once they activate ShareGate Migrate on their machine, they can use a different account (i.e., a service account) to connect to SharePoint and Microsoft 365 in the app.

Subscription

The Subscription page lists the active and expired ShareGate subscriptions for your workspace.

You will find the name of your plan, the number of activations for ShareGate Migrate, add-on information, the duration, and the expiry date of the subscription's term.

ShareGate subscriptions renew annually on the date of your initial purchase.

You can have one active subscription in your workspace, and you can be a member of multiple workspaces with your ShareGate account.
