Understanding Membership Renewal

How renewal works in sheepCRM

What renewal means

👉 Renewal = creating a new membership period

  • A new membership record is created

  • The previous record remains for history

  • One contact can have multiple membership periods over time

💡 Renewal moves the journey forward
💡 It does not confirm payment


Important: Renewal does NOT equal Payment

👉 Renewal and payment are separate

  • Renewal = new membership period created

  • Payment = whether that period has been paid for

🔴 A membership can renew and still be unpaid
👉 This is normal and expected


When renewal happens

Renewal is triggered by timing, not action.

💡 This is controlled by:

  • Membership end date

  • Renewal window

  • Grace period


The renewal window

This is the period before expiry when renewal is expected.

👉 This is often referred to as “Renewal Due”
👉 It is a timing condition, not a status


Renewal models (who takes action)

The renewal model determines who is responsible when the renewal window is reached.

How this plays out in reality

💡 The system behaviour is predictable
👉 Real life is not always tidy, you’ll commonly see:

  • Renewal created → payment still pending

  • Member in renewal window → no action yet

  • Direct Debit set up → funds not collected yet

👉 These are normal system states
