Sheep Teams (teams.sheepcrm.com) is a web app for team leaders that need secure access to their part of the central people database. The central organisation has the overall database managed through SheepCRM. 

The Teams app works for managing volunteer teams, groups of people, classes or regions. (We'll refer to the group/region/class etc as a team for the rest of this note.)

How Teams work

  • Contacts can be allocated to teams. 

  • Contacts can belong to many teams

  • Each team has a group of team leaders

  • Teams can be open (anyone can join), closed (must be allocated by the admin) or controlled (access is through an application process)

  • Teams can be invite only (controlled by a simple invite code)

Team Leaders

Team leaders are controlled SheepCRM users.

  1. Create a person record in SheepCRM (as a normal contact)

  2. The new contact must have an email address (multiple addresses are fine)

  3. From the SheepCRM settings invite the team leader as a user (make sure the email address matches)

  4. Edit the user roles to only include "team leader". Users have access to the whole database so make sure all other user roles are removed unless you want to grant full database access

  5. If you chose "send invite" then the team leader will get an email asking them to confirm their email address and to set a password. (The invitation email has the same effect as password reset so team leader can activate later if they lose the email link.)

Using the Teams App

When a leader has user account and passwords setup they can sign into Sheep Teams (teams.sheepcrm.com). 

  1. Choose the database (the leader may have access to just your database or to several.)

  2. Choose the team (again the leader may have access to several teams)

  3. Search / Browse the team members

  4. Select a team member for more details about the person.

  5. The details shared and the actions available will vary depending on your need and configuration. Typical actions: email contact, view their details, set their interests (tags), make and review notes, create and tick off tasks
