sheepCRM: Creating & Managing Reservations

Step-by-step guide on creating and managing bookings in sheepCRM.

Reservations and enquiries can be created by users in the self-service app, but reservations can also be created in SheepCRM. Enquiries will also need to be approved in SheepCRM before they are valid.

Creating a new reservation or enquiry

On the dashboard, click on the Calendar button in the left-hand navigation. This will bring up the bookings calendar that will show all venue reservations, event bookings and staff or asset availability.

To view reservations and enquiries, click on Reservations in the right-hand sidebar. This will filter the calendar to just show reservations and enquiries. Reservations are noted as solid blocks of colour, enquiries are marked with a striped or transparent background.

To place a new reservation or enquiry, click on the day in the calendar you wish to place it and a small window will appear with the options to add a 'New note' or 'New hire'. Click on 'New hire' to create a new reservation. For more information on the fields in the new reservation, read the Editing an existing reservation or enquiry section of this article.

Viewing an existing reservation or enquiry

In the calendar, click on the reservation or enquiry to bring up a summary window showing details. You can go straight to the hirer/buyer by clicking on the 'View Hirer' button, or you can view or edit the details by clicking on the 'Edit Hire' button.

Approving or rejecting an enquiry

If the selected record is an enquiry, you will have a button to 'Confirm Enquiry' or 'Reject Enquiry'. Confirming an enquiry will turn it into a reservation, rejecting the enquiry will notify the buyer on their dashboard.

Deleting a reservation or enquiry

If you wish to delete the reservation or enquiry entirely, click on the 'Delete Reservation' button to remove the record. Please note: Buyers will not be notified if you delete the reservation or enquiry, it is recommended that you cancel the record first before deleting.

Editing an existing reservation or enquiry

In the detailed summary window, click on the 'Edit' button at the bottom of the window. From the new window, you can edit the following details:

Reservation for

Select the venue the reservation is for. This venue should be free at the current time to avoid clashing bookings.

Buyer

Select the buyer and hirer of the venue. Start typing the name to find them from the list of contacts in the system.

Start

Enter the start time of the reservation.

End

Enter the end time of the reservation.

Attendees

Enter how many people will be attending in this reservation.

Fee

Enter the price or fee of the reservation.
