Donations: Getting Started

Follow these simple steps to get the Donations self-service app up and running for your flock.

Before you begin

Some steps in the set-up will require SheepCRM's involvement, please make sure you have the following information to provide to us (or have already provided) before getting started:

  • URL to your organisation's Logo, hosted externally

  • HEX code colour for your organisation (used for the theme)

  • Term to be used to identify an appeal - i.e. 'Appeal', 'Charity', 'Fundraiser'

  • Terms & Conditions specific to handling donations made for your appeal(s)

Creating Appeals

Appeals can be created or updated by going to the Settings section. In the sidebar select the Fundraising and Giving tab. Scroll down to the appeals panel to see existing appeals with the option to create a new appeal.

Click on Add new Donation Appeal to start creating a new appeal. This will bring up a window to fill in the core information required for a new appeal.

Adding existing donations

Existing donations, or donations made offline can be manually attached to the donor and appeal in sheepCRM by finding the donor's contact record in Contacts, or by using the search bar at the top of the page.

Once on the contact record, go to the Giving tab in the right-hand sidebar. This page will show all existing donations made by the contact as well as the option to Record a new pledge.

Click on Record a new pledge to create a new donation. This will bring up a window to enter the relevant information into.

The first step is to set whether this donation is a one-off or regular (repeated) payment - set the toggle to One-off or Regular based on what type of donation you need to record. Once set, more options will appear in the window, allowing you to specify the appeal, date donated and amount donated.

Creating lifecycle emails

In order to have SheepCRM send out emails automatically to your customers using the self-service app, you'll need to set up lifecycle emails and set them to the relevant triggers:

  • Donation Confirmation

  • Received payment

Once you've created the email templates, get in touch with our support team with the names of the new templates and we'll link them up for you.
