Book overnight or short stay reservations on the boarding calendar and check in patients when they arrive.

Configure Your Boarding Features

Before you can dive into the fun of using boarding features, you'll first need to activate and configure them!

Activate Boarding Features

To manage your boarding features, head to your main clinic settings where you can easily enable or disable them.

Simply navigate to Admin → Clinic Settings → Settings, then toggle Enable Boarding to turn it on. Make sure to click Save at the bottom of the page to apply your changes!

Once boarding features are activated, a new Boarding Admin Settings tab will appear in your left-hand navigation menu. Click on this tab to access and manage your boarding settings.

Inside your Boarding Settings, you’ll find the option to enable Wards. Turning this on helps you organize your boarding resources into neat groups or locations — making your boarding calendar cleaner, smarter, and way easier to manage!

Boarding Wards

If you've enabled Boarding Wards, you'll see a new Wards tab appear along your header navigation bar.

Creating New Boarding Wards

To create a new Boarding Ward, click the Add New button.

In the New Ward window, you’ll be asked to provide a Name and choose an identification color. Assigning Boarding Resources is optional. If you’ve already set up resources, you can use the search bar to find and select the ones you'd like to include.

Remember to click Add after selecting your resources, then hit Save to confirm your changes.

Managing Existing Boarding Wards

To edit an existing Ward, click the pencil icon to open the edit window.

From there, you can update the name, change the identification color, add or remove resources, or even archive the ward if it’s no longer needed.

You can also manage resource assignments directly from the main table by expanding the ward’s row and using the delete (–) icon to remove any assigned resources.

Boarding Resources

Boarding Resources represent the physical spaces you use for boarding — such as kennels, runs, cages, or other designated areas where reservations are scheduled. To begin configuring your Boarding Resources, navigate to designated tab under Admin -> Boarding.

Creating New Boarding Resources

To create a new resource, click the + Add New button. This will open a new resource setup page, where you can:

  • Enter the resource name

  • Choose a custom color for easy calendar visibility

  • Add a description if needed

  • Assign a boarding ward if enabled and needed

These settings help you clearly identify and organize each boarding space on your calendar.

Managing Existing Boarding Resources

To edit an existing Resource, click the pencil icon to open the edit window.

From there, you can update the name, change the identification color, add or remove a Ward assignment.

You can also manage your Resource list directly from the main table by using the box icon to archive the Resource if it’s no longer needed.

Managing Boarding Settings User Permissions

When Boarding features are enabled, a dedicated user role permission becomes available to control access to the Admin Boarding Settings. By default, this permission is enabled for Admin and Practice Owner roles.

If Boarding features are disabled, this permission is hidden entirely.

This permission only governs access to the Admin Boarding Settings. All users will still have access to view and use the main Boarding Calendar, regardless of their role.

Scheduling A Boarding Reservation

To start a Boarding Reservation, head to your Boarding Calendar under the Schedule tab.
Click on the date and resource intersection where you'd like the reservation to begin — this will open a scheduling modal where you can make any necessary adjustments.

In the Boarding Reservation modal, you'll be able to:

  • Confirm the Client & Patient information

  • Set or adjust the Check-In and Check-Out times

Once all details are confirmed, you can proceed with booking the reservation.

Partial day reservations will resize according to the reservation duration if less than 24 hours. Zoom in or out by holding CTRL (or ⌘ on Mac) and scrolling with your mouse wheel. Need to pan left or right? Hold Shift and scroll horizontally.

Checking In a Boarding Reservation

Once the Boarding Reservation has been created, you can open it at any time to check in the patient, just like you would from the appointment schedule.

When you check in a patient, a new SOAP will automatically be created and opened on the dashboard, allowing you to begin documenting the visit right away.

The SOAP will be created with a 'Boarding' status so you can easily filter and recall Boarding related visits from your standard medical visits.
