Accessing the Schedule, Shift Details, Forms, and Timesheets in the Mobile App

Learn how to view your shift schedule, shift details, and timesheets in the mobile app for better visibility over your work and records.

You can view your shift schedule as well as all shift information on your ShiftCare app. You can also access your timesheets directly in the app, giving you more visibility over your work and payroll records.

Accessing Your Shift Schedule

To access your schedule, navigate to the main menu on the left and select 'My Schedule'.

You will be redirected to a page with all your shifts listed for the week. From here, you can scroll down the page to view all your rostered shifts.

Refreshing Your Shift Schedule

To make sure your schedule is up-to-date, click on the circular arrow to update it. This will require your device to be connected to the internet.

Accessing Other Dates

Below the date line is a blue arrow icon that you can pull down to access the full calendar.

Scrolling to previous dates that have already passed will allow you to see shifts within that timeframe. The blue dots signify the presence of shift/s on that date.

Shift States

Shift states are displayed at the bottom corner of each shift box.

  • Completed: The shift has been completed (Clock in and Clock out were completed on the assigned time and day).

  • Booked: The shift has been booked and assigned. You will not be able to clock in or clock out of the shift until the assigned time and day.

  • Pending: There is an issue with the shift that needs to be resolved.

  • Approved: Shift times in the timesheet have been approved by admin.

Managing Shift Details

You can view shift details by clicking on a specific shift. This will direct you to the clock in and clock out page, where you can also find all shift information, including:

  • Shift Date

  • Shift Time

  • Break Time/s (if applicable)

  • Shift Location

  • Map: You can tap on the map to view it and get directions to the location.

  • AI Client Summary: View or generate a quick overview of the client's recent condition, activity, and risks.

  • Instructions: Click 'View' to see important notes regarding the shift.

    Here are the sections under More Actions:

  • Shift Related Forms: Submit responses to forms that are attached to the shift (more info in the section below).

  • eMAR Medications: This displays a list of medications for the shift, along with the client's medication history. Log all the medication given here.

  • Mileage: Fill out the necessary sections to record your mileage. Read this in-depth guide to learn how Mileage Tracking works in the app.

  • Signatures: This lists all required and collected signatures for the shift. Click the floating '+' icon and select the appropriate option.

  • Break Time: The break list screen displays all scheduled breaks for the shift (Paid or Unpaid). Log your breaks here.

Completing Forms

To complete assigned forms, click 'Shift related forms' under the More Actions menu.

Locate the form you need to complete and click 'Respond'.

Fill out the necessary fields and click 'Submit'.

A confirmation message will appear, and you can exit the page.

Once submitted, the button on the form card will update to display 'My Responses: [number]'. Click this to view your submission history.

Here, you can see the status of your forms (Pending, Approved, and Rejected). Click 'View Response' to open your filled-out form.

Note: You cannot edit a form once it has been submitted.

Accessing Client Information

The client's name and profile details can be viewed on the shift overview page.

If a shift contains multiple clients, you can view all of them by selecting the 'See All' option.

Clicking the client's name will bring you to their details page.

Accessing Your Timesheet

The Timesheet view gives you easy access to your timesheets directly in the app.

To access this feature, navigate to the sidebar menu and select 'My Timesheet'.

From here, you can:

  • View timesheets grouped by pay period (e.g., fortnightly). Only valid payroll periods will be displayed.

  • Tap the timesheet to see shift-level details such as client, hours, and total duration.

  • Check the status of your timesheets (e.g., Not started, In progress, Approved, Scheduled times approved, or Pending approval). This will be displayed if enabled by admin.

Important Notes:

  • Timesheets are view-only in the app. You will not be able to edit or submit timesheets from here.

  • Each staff member will only see their own records.

Frequently Asked Questions (FAQs)

I have two ShiftCare accounts under different companies or organisations. Can I switch between them in the mobile app?

Currently, the ShiftCare mobile app does not support switching between multiple accounts.

If you need to access another account, you will need to log out of your current account and then log in again using the other email address associated with the different organisation.
