Mobile App Guide

Learn how to view your shift schedule, shift details, forms, and timesheets in the mobile app for better visibility over your work and records.

You can view your shift schedule as well as all shift information on your ShiftCare app. You can also complete forms and access your timesheets directly in the app, giving you more visibility over your work and payroll records.

ShiftCare is currently rolling out a redesigned shift experience. Your app may look slightly different as these new features become available.

Accessing Your Shift Schedule

To access your schedule, click the hamburger menu on the left and select 'My Schedule'.

You will be redirected to a page with all your shifts listed for the week. From here, you can scroll down the page to view all your rostered shifts.

Each shift card shows the time, shift type, client, address, whether it's available offline, its status, and how many tasks are still to be completed.

Refreshing Your Shift Schedule

To make sure your schedule is up-to-date, click on the circular arrow to update it. This will require your device to be connected to the internet.

Accessing Other Dates

Below the date line is a blue arrow icon that you can pull down to access the full calendar.

Scrolling to previous dates that have already passed will allow you to see shifts within that timeframe. The blue dots signify the presence of shift/s on that date.

Shift Status

The shift status is displayed at the bottom corner of each shift box.

  • Completed: The shift has been completed (Clock in and Clock out were completed on the assigned time and day).

  • Booked: The shift has been booked and assigned. You will not be able to clock in or clock out of the shift until the assigned time and day.

  • Pending: There is an issue with the shift that needs to be resolved.

  • Approved: Shift times in the timesheet have been approved by admin.

Managing Shift Details

When you tap on a shift, you will see a streamlined screen with a navigation menu at the bottom containing four tabs: Details, Messaging, Clients, and More.

The Details Tab (Before Clocking In)

When you open a shift, you will land on the Details tab. This provides an at-a-glance summary of everything the shift involves.

  • Client Header: A band with the client's photo, name, and age. For multi-client shifts, you can tap this header to view a list of all clients.

  • Live Status Pill: A visual indicator showing where the shift is up to (e.g., Upcoming, Starts in 2 hrs, Ready to Clock In, Overdue).

  • AI Client Summary: View or generate a quick overview of the client's recent condition, activity, and risks.

  • Shift Details: Date, Time, Break Time, and Address. Tapping the address will open your device's map app.

  • Instructions: Click 'Show more' to see important notes regarding the shift.

  • Risk Summary: A banner alerting you if the client has any Critical or Important risks on their profile. Tap 'Show More Details' for more information. This feature only applies to single-client shifts.

  • Care Notes: Displays the client's most recent care note. Tap 'Show more' to read the full note.

  • This Shift Includes: Summary tiles showing how many Tasks, Medications, Care Plan Tasks and Goals, Signatures, or Forms are required for this shift. Click the tiles to view more details.

  • From Your Location: Shows your current location and the shift address with a 'Live' pill. If location access is off, a prompt will appear to enable it in device settings.

    • Click 'Open Map View' to access a full map with both locations pinned and a 'Start trip & track mileage' button.

If your organisation has enabled the Need-to-Know pop-up, you will be shown critical client information that you will have to acknowledge upon clocking in.

The Shift Guide (After Clocking In)

Once you tap 'Clock In', the Details tab transforms into the Shift Guide.

The Shift Guide is a single, time-ordered checklist of everything due during your shift: medications, tasks, care plan goals, forms, signatures, and breaks. You no longer need to jump between different screens to figure out what to do next!

Items are grouped by scheduled time. Items due at the current moment will be highlighted with a 'Due Now' label. Items with no specific time, like PRN (as needed) medications or general forms, are listed at the bottom.

At the top of the list, you will see two tabs. As you finish items, they will automatically move from the Active tab to the Completed tab.

Some items (like Shift Tasks) can be ticked off directly on the checklist. Other items (like Medications, Forms, or Signatures) will open their dedicated screens when you tap them so you can fill them out properly.

Use the chips at the top of the screen to filter your checklist by specific item types (eMar, Tasks, Care Plan Goals, Forms, or Signatures) or by a specific client on a multi-client shift.

eMar Medications

eMAR Medication items appear in the Shift Guide with a 'Log Medication' button. The Record Medication screen prompts you to confirm the client's identity, shows the full dose details, and lets you mark the medication as Given, Refused, Missed or Wastage with a reason code and full or partial dose where relevant.

PRN medications have their own screen showing how many doses have been given in the last 24 hours, the maximum allowed, and a link to the PRN usage history.

Break Time

Scheduled break times now appear as items in the shift timeline, labelled paid or unpaid, with Start break and End break controls. If a planned break wasn't taken, the app asks you to give a reason when you clock out.

Forms and Signatures

Shift Related Forms show Forms and Responses as different tabs, flag mandatory forms, and show which ones are still awaiting a response. Tap 'Respond' to complete a form.

Signatures show client and staff signatures with their status, so you can see at a glance what's still required. Signatures are captured in the app and confirmed upon saving.

Messaging and Clients Tabs

  • Messaging: Access all your shift-related conversations and direct messages directly from this tab.

  • Clients: A directory of the clients on your current shift. If your account allows it, you can also see all other clients from this tab to view profiles outside of your current shift.

More Actions Tab

The More Actions tab houses secondary actions for your shift:

  • Shift Details: Appears after clocking in to view the shift's details.

  • Tasks

  • Facility Tasks

  • Care Plan

  • Signatures

  • eMar Medications

Clocking Out

The app checks if required items (such as progress notes) are complete before you clock out, and offers a shortcut to add anything missing. Once you're done, the shift header updates to Completed, with the AI Client Summary and shift details still available for reference.

Accessing Your Timesheet

The Timesheet view gives you easy access to your timesheets directly in the app.

To access this feature, navigate to the sidebar menu and select 'My Timesheet'.

From here, you can:

  • View timesheets grouped by pay period (e.g., fortnightly). Only valid payroll periods will be displayed.

  • Tap the timesheet to see shift-level details such as client, hours, and total duration.

  • Check the status of your timesheets (e.g., Not started, In progress, Approved, Scheduled times approved, or Pending approval). This will be displayed if enabled by admin.

Important Notes:

  • Timesheets are view-only in the app. You will not be able to edit or submit timesheets from here.

  • Each staff member will only see their own records.

Frequently Asked Questions (FAQs)

I have two ShiftCare accounts under different companies or organisations. Can I switch between them in the mobile app?

Currently, the ShiftCare mobile app does not support switching between multiple accounts.

If you need to access another account, you will need to log out of your current account and then log in again using the other email address associated with the different organisation.
