Learn how to create and manage staff and client teams in ShiftCare for easier scheduling, communication, and group services.

Teams in ShiftCare let you organise groups of staff and clients, making it easier to manage rostering, communication, and group services.

With Teams, you can:

  • Group staff and/or clients for easier management.

  • Filter staff and clients by team when scheduling or messaging.

  • Attach a team to a client profile.

  • Bulk message staff teams via email or SMS.

  • Advertise new shifts to an entire staff team at once.

Creating and Managing Staff Teams

To create a new staff team, follow these steps:

  1. Navigate to Staff > Teams > New from the sidebar menu.

  2. Enter a name for the team, then select staff members and clients from the 'Search Staff' and 'Search Clients' dropdown menus, respectively.

  3. Click 'Save'.

You can view all teams by navigating to Staff > Teams > List. From here, you can:

  • Edit a team: Click 'Edit' to change the team's name and add/remove staff members and clients. Click 'Update' after making the necessary changes.

  • Delete a team: Click 'Delete' to permanently remove a team. If that team is attached to a client, it will also be removed from the client profile.

Creating and Managing Client Teams

To create a new client team, follow these steps:

  1. Navigate to Clients > Teams > New from the sidebar menu.

  2. Enter a name for the team, then select staff members and clients from the 'Search Staff' and 'Search Clients' dropdown menus, respectively.

  3. Click 'Save'.

You can view all teams by navigating to Clients > Teams > List. From here, you can:

  • Edit a team: Click 'Edit' to change the team's name and add/remove staff members and clients. Click 'Update' after making the necessary changes.

  • Delete a team: Click 'Delete' to permanently remove a team. If that team is attached to a client, it will also be removed from the client profile.

Filter Staff Members/Clients by Teams

You can filter staff members by their teams. Navigate to Staff > List and click 'Advanced Search'.

Choose the appropriate team from the 'Teams' dropdown menu, then click 'Apply'.

You can also filter staff members/clients by their teams in the Scheduler. Click 'Search by team, staff, or clients' in the Date row and select the right team.

Bulk Email/SMS Staff Teams

You can send bulk email/SMS to selected staff teams via Staff > List. Read this guide for more detailed instructions.

Advertise Shifts via SMS

You can advertise shifts to specific staff teams. To do this, open the shift you want to advertise and select More Actions > Advertise by SMS.

Choose the appropriate team from the dropdown menu and fill out the message box. Click 'Send SMS'.
