Create a Recurring Shift
Creating recurring shifts is a great way to save time when scheduling. A recurring shift refers to a shift that involves the same carer and client, occurs at the same time of day, with the same duration and location, across two or more different days. Shifts that differ in time, carer, or other details are treated as individual, unique shifts.
To create a recurring shift, start by creating a new shift in Scheduler. Under the Time & Location section in the detailed view, you’ll see a checkbox labelled 'Repeat' after the time adjuster.
Tick the box to access various customisation options. You can set how often the shift occurs (daily, weekly, or monthly), choose the number of weeks between each recurrence, select the specific days of the week the shift takes place, and specify an end date.
Once you’ve made your selections, don’t forget to click 'Save' to apply the changes.
Note: This image shows a start date of July 2nd through to an end date of August 25th, with a fortnightly (every 2 weeks) recurring shift on Mondays at 11:00 AM (until 12:00 PM). The system calculates the number of occurrences that will happen within the selected dates (4 occurrences).
There are various combinations of settings you can use to create different types of recurring shifts.
In this example, we want a shift that repeats every two weeks (fortnightly) on Mondays at 11:00 AM, starting from July 2nd and ending on August 25th.
To set this up:
Select Recurrence as Weekly
Set Repeat every to 2 weeks
Tick Monday as the recurring day
Set the start date to July 2nd and the end date to August 25th
The system will then calculate and generate 4 recurring shifts based on these settings.
Another example is setting up a shift that repeats daily for one fortnight (2 weeks).
To do this:
Set Recurrence to Daily
Choose Repeat every 1 day
Set the end date to be 14 days after the start date
This configuration will create 14 daily shifts across the fortnight. The system will automatically calculate and generate the correct number of occurrences.
Note: This image shows a start date of July 2nd through to an end date of July 15th, with a daily repeating shift at 11:00 AM (until 12:00 PM). This equates to 14 occurrences for the fortnight.
If you want to create a shift that repeats only once per month, select 'Monthly' as the recurrence, set Repeat every to '1' Month, and specify the day of the month the shift will occur.
Note: This image shows a start date of July 2nd through to an end date of August 15th, with a recurring shift on the 15th of each month at 11:00 AM (until 12:00 PM). This equates to 2 occurrences.
Shifts That Occur on Multiple Weekdays
You can create a recurring shift that takes place on multiple days within the same week, in addition to setting how often it repeats.
For example, a weekly recurring shift can be set to occur on multiple weekdays, such as Mondays, Wednesdays, and Fridays.
Note: This only applies to Weekly and Monthly recurring types, not Daily.
To apply this setting, simply tick the checkboxes for the days of the week you want the shift to occur. You can select one or more days.
Note: This image shows a start date of July 2nd through to an end date of August 27th, with a fortnightly (every 2 weeks) recurring shift that repeats every Monday and Wednesday. This gives us 9 occurrences.
Can we create a monthly recurring shift based on the day of the week (e.g. every last Tuesday of the month)?
Unfortunately, this is currently not supported.
Currently, we are unable to do this. It has to be date-specified, not day-specified, for a monthly recurring entry.

It's currently not possible to assign different staff members each week for a recurring shift series, but a workaround is available.
