Manual Dock Scheduling Approval Workflow Support
Shipwell’s Dock Scheduling defaults to have appointments booked by carriers as long as the appointment being scheduled has a matching dock opening at the time seeking to be scheduled. However, some customers seek to review appointment requests prior to having appointments approved and Shipwell supports this workflow.
The process to do this is as follows:
Activate Manual Approval Process for Facility: Under ‘Scheduling’ → ‘My Facilities’ → [Facility Name] → ‘Attributes’ select ‘Manual Appointment Approval’ = ‘True’
When ‘Manual Appointment Approval’ is active it will require when activated that all new appointment requests by a carrier be approved. This will not impact any other dock scheduling facilities and must be turned on or off by a facility. Further, activating this manual approval workflow will not impact appointments that have already been created.
When new appointments are requested by a carrier then they will go into ‘Pending’ status for the carrier.
This ‘Pending’ status requires that an approval be reviewed by a dock scheduling approver prior to the appointment being finalized. Note any dock scheduling contact can be an approver of appointments. Note that if instead of a carrier scheduling the appointment the dock scheduling customers books the appointment, then it will not require an approval process.
Review appointments needing approval on the Dock Scheduling Calendar Side Panel that is accessed via ‘Scheduling’ → ‘Calendar’ → select the ‘Requested Appointments’ icon.
Hover over an appointment and it will display where that appointment would fall on the calendar.
Approve an appointment and then it will be a standard ‘Scheduled' appointment on the calendar.
Modify an appointment if you want to approve the appointment but for a different time, appointment duration, or dock. The appointment will be in 'Scheduled' status with the modified time, duration, and/or dock.
Decline an appointment if you don’t want to approve the appointment. Add appointment notes for context on why being declined. The appointment will go back to being ‘Unscheduled’ for both you and the carrier.
Shipwell’s manual appointment approval workflow for Dock Scheduling customers is an option for customers that seek to have more review and control over their appointments.
Dock Scheduling is an add-on product for Shipwell. If interested in learning more about Dock Scheduling and its capabilities, then reach out to your Customer Success Manager.
Create and Manage Groups
Shipwell supports the creation and management of ‘Groups’. ‘Groups’ are meant to be flexible based on how you would segment the Shipwell TMS. ‘Groups’ could be company divisions, different companies under a parent company, or could even be specific teams. The idea is to provide a flexible platform for customers to identify which items belong together.
This release includes ability to create, update, and view Groups which is accessible via ‘Manage’ → ‘Company’ → ‘Group Management’. Next, in 2025 we are in the process of making this Groups available to be added to Orders (v3), Shipments, and Invoices along with making available for viewing within those respective Shipwell dashboards and columns.
In the next phase of Groups in 2026, we will be expanding these Groups out to be able to associate with users along with restricting users to only access Orders, Shipments, and Invoices for Groups they are members. In the last planned phase of Groups, we plan on expanding Groups to other Shipwell objects like Carriers, Products, Addresses, etc. along with providing the ability to leverage different Shipwell marketplace integrations with different Groups.
Create and View Groups
You can view and manage your Groups via ‘Manage’ → ‘Company’ → ‘Group Management’ which will bring you to your Groups dashboard.
Edit a Group by selecting ‘Edit’ under actions.
Create a new Group by selecting ‘+ Create New Group’ on the Groups Dashboard.
Groups is a feature that will be made generally available once Groups has been added to Orders and Shipments. However, for customers looking to get early access to create and manage Groups beforehand then it can be activated now by asking your Customer Success Manager to activate it for you in production. Further, we have activated Groups within the sandbox environment for all customers.
Fuel Surcharge (Recalculate Rate & Day of the Month Update)
Recalculate Rate on Pickup or Delivery
In the case where shipments are tendered to a carrier in advance of the pickup date, the fuel surcharge amount applied to the shipment may change when the actual pickup or delivery occurs. Users now have the ability to automatically recalculate the fuel surcharge applied to a shipment when the actual pickup or delivery occurs.
To enable this, select Manage, Company, Lane Management, Fuel Surcharge, and select a fuel surcharge table. If you then select the Recalculate Fuel Surcharge check box, a drop list will appear allowing you to select Actual Pickup Date or Actual Delivery Date. Depending on your selection, the system will automatically recalculate the fuel surcharge on a shipment once the actual pickup or delivery date is entered on the shipment.
Day of the Month Update
A new update option has been added to the fuel surcharge table that allows you to update the Department of Energy fuel costs on a particular day of the month. For example, if your agreement with carriers is based on updating the FSC rates on the 1st of the month, you can now configure this in the system.
From the Rate Update Frequency drop list select Day of the Month, and then you can specify which day the update should occur. If you choose a day that does not exist in a month, for example, choosing 31 and it’s February, the update will occur on the last day of the month.
