Introduction

Batch journals make posting to the same account faster and easier: you select the required account once and then only need to add the contra entries.

For example, if you regularly pay expenses from the same bank account, there’s no need to credit it every time. Just add your debits and the system automatically balances the other side for you. Tempting? Keep reading to learn how to create a batch journal.


Creating a Nominal Batch Journal

Let's say you want to record repeated expenses paid out of your BOV bank account.


Below is how you would create a batch journal for the above-mentioned scenario:

  1. Go to Nominal > Posting > Nominal Batch Journal.

  2. Choose your main account from the Batch account search field (e.g. BOV Bank Account).

  3. Fill in the journal's fields: Date, Ext ref, Description, and Participant Description (optional).

  4. Select the ✔️ Save button or press the Tab key.


The journal is saved as a draft and flagged with an orange 'Saved as draft' label.

For the line items, proceed as you would for a regular ➡️ journal entry.


Posting a Nominal Batch Journal

  1. When you're happy with your line items, select Post at the bottom right of the page.

  2. The system will ask for your confirmation. Click on Post if you're ready to proceed.

The Result

  • The posted cash journals will be visible in Nominal > Audit Trail.

  • For each debit or credit inserted manually, a contra entry is automatically created against the chosen batch account (e.g. BOV Bank Account).
