The Nominal Trial Balance Report

Run the Nominal Trial Balance Report to check the debit and credit accuracy across your nominal accounts for accurate future financial statements

Introduction

The Trial Balance Report in Indigo Business shows the closing balances of all nominal ledger accounts at a point in time. It is used to:

  • Verify that total debits equal total credits

  • Identify errors before financial statements are prepared

While the report is typically generated at the end of an accounting period, such as a month, quarter, or year, it can also be run at any time to provide a quick overview of the business's debits and credits situation

📜 Note: An accounting period is a specific time frame used to record and report a business’s financial activities. The most common accounting period is a year (also known as the fiscal year). Periods can be broken down into shorter spans of time, like months or quarters for more frequent reporting.

Below the steps to run a Trial Balance Report in Indigo Business. 👇


The Report

To run the report:

  1. Go to Nominal > Reporting > Nominal Trial Balance Report.

  2. The Trial Balance Report page will open.

  3. Set up the Report Options:

    • As At Date: enter the date up to which account balances are included in the trial balance.

    • In the Report Type dropdown, select one of the following values:

      • Hierarchical: it will list the accounts divided by account category (Current and Non Current Assets, Liabilities etc.)

      • List: it will display the list of accounts as a continuum, without any categorisation.

    • Previous Financial Years Comparison: use it to include a Trial Balance comparison up to three financial years.

    • Order By: use it to display data ordered by Account Code, Account Name, Extra Code 1 or Extra Code 2.

    • Select Ascending or Descending in the Order direction dropdowns. In the Up until date field, enter the cut-off date for the VAT Returns to include in the report.

    • Tick the Print Zero Balances checkbox to include accounts with zero balance in the report.

  4. Filter and select the data you want to report on in the left grid, if necessary.

  5. Choose the report format and generate the report at the bottom right of the page.

    • You have two choices in the Report Layout dropdown:

      • Standard Layout: it displays debits and credits in two separate columns

      • Standard Layout (Linear): debits and credits are displayed in a single column. Credits are in brackets while debits aren't.

⚠️ Important: User permissions and active system record filters influence the data displayed in the report selection grid and the resulting report. Excluded records may cause incomplete figures or unexpected totals.


The Result

The Trial Balance Report can be generated in either PDF or Excel format. Both formats include the same columns: Account Code, Account Name, Year to date.
The Year-to-Date values can be displayed either in a single column or split into Debit (EUR) and Credit (EUR) columns.

⚠️ Important: Always double-check for errors, even if your credits and debits seem to be equal! Some common errors include:

  • Switched debits and credits in your journal.

  • Posted the same journal twice, or you haven't posted it at all.

  • Posted the journal in the wrong accounts or with wrong figures.
