How to send a quick email, individual email, and email by criteria

There are a few ways to create an email to send through ShowroomHQ. 

Quick Email


Send a quick email through:

  1. Customer View

  2. Purchase Orders

  3. Brands View

This option of sending email will list all contact emails for the customer, a CC: which will list all users for the company - you can also add a new email address to that field as well, and attachments. This window also has a very basic editing tool. 

Bulk Emails


To send emails to a larger group of people, or if you want to add collection items to an email you have the option of Individual, and By Criteria. Click "New Bulk Email" to show the two options. *Note you can also create a new bulk email from the "Create New" drop down from the main menu*

Bulk Email: Individually

  1. From: (by default this field will be filled in with your name and email address) - you cannot send out as anyone else

  2. To: start typing in the name(s) of the customer contacts you want to send the email to

  3. Subject: of the email

  4. Header Image: this image will appear embedded at the top of the body of the email. It can be used for things like: company logo, flyers, images etc. *Note the header image should have a minimum of 550px and be in either a JPG of GIF format. The image will be resized to 550px wide if it is larger. 

  5. Attachments: upload any files you'd like to send with the email

  6. Insert Consent Button: this button is to comply to CASL (Canada's Anti Spam Legislation) - we send large amount of emails through ShowroomHQ, and to make sure that we can continue to send the amount we are, we need to try and make sure that all customers being sent emails are willing to receive these emails. This button, when inserted into the email, will visually show that you are aware that the recipient has a choice to not receive them. 

  7. Blank box - type your email. If need format your email with different font styles, you can create your email in a Word document or our regular email program (ie: Outlook/ Gmail) then copy and paste it into ShowroomHQ's email editor.

  8. Add Section - if you want to insert images into the body of the email (not linked), this section will allow you to upload an image. Another box will pop up with "Header Image" > Choose File. Choose the file to upload, and if you want to add a description type into the field "Content".  To remove the image and section click the "Remove section" button. 

  9. Add Products - all collections that you have created, will show up in a list under Add Products. To open up a collection to view the products, click on one of the brand names. This will then open up a list of the collection's seasons to choose from. Click the season to view products for, and images will appear. To add them as embedded images with product details, click on the image itself (not the (+) zoom icon) - click the "Add Products to Email" button to add. *Note the image will appear under "Products included in email (#):" - to remove the product click "remove" under it's description.

  10. When you are happy with the email and ready to preview, click "Next" or if you want to save the email to send later click "Save Draft". 

  11. Next - a Preview of the email you are about to send will appear. If you find something you'd like to change before sending, click "Back To Edit". If everything looks good, click "Next". 

  12. The next screen shows the email summary, and also an area where you can choose to send a test email to yourself and/or other users before sending the email out to the customer(s). Click the check box next tot eh name of the user you want to send the email to and then click "Send Test".

  13. If you've sent yourself a test, and have made sure that all looks okay, then click "Send Now" this will send the email to the customer(s) right away, and will be logged.


Bulk Email: Criteria 

Unlike sending an individual email or a quick email, this email is will give you the option to filter customers to send to based on certain criteria that you choose. This is a great way to target customers in certain cities, or customers who order a certain brand(s).

  1. From: by default this field will be filled in with your name and email address - you cannot send out as anyone else

  2. To: the number that shows up in this field is the amount of customers in your customer list. This number will adjust to show the amount of customers after choosing your criteria. "Preview recipients" - clicking this button will open a list to show you exactly who the email is being sent to. You can exclude certain contacts by checking the box next to their name and then clicking "Exclude". "Hide criteria" will minimize the criteria box.

Criteria Options:

  1. All Contacts - you have the option to choose all contacts or just the Primary contact 

  2. Active only customers - you can send to either active or inactive customers, or both types.

  3. Match all criteria (AND) vs Match at least one criteria (OR) - AND will look only for customers who match ALL of the criteria you choose, where as OR will look for either this criteria or that criteria. 

  4. Please choose criteria - a list of all options will appear when you click the drop down. Choose a criteria (eg; city) and choose Is/Contains or Is Not/Doesn't Contain then choose the options from the criteria choose in the second drop down. Click the + icon to add another criteria, or - to remove a criteria type. Continue this until you have your list. 

  5. Subject: of the email

Email Stats

Open up the sent email >Stats tab to review who the email was sent to, who clicked and who unsubscribed.

Who Clicked? - The system tracks any url links in the email or product links added to the email (except the unsubscribe link).

Who Unsubscribed? - When a user clicks on the unsubscribe link, their email consent will be marked as "Withdrawn" in their contact information profile. If they wish to re-subscribe again, you can go to their contact box and marked them as "Expressed".

Daily Email Reports

Only brand managers will be able to receive the Daily Email Reports.
