SingleOps Invoices generate at different times depending on the Invoice type. By default, once Invoices have generated, they are considered Open Invoices and appear in the Client Portal, the Invoices page, and the Invoices Report. To prevent Invoices from appearing as an Open Invoice before the work has been done, follow the steps below to configure the Invoice settings that determine when an Invoice is considered Open and becomes viewable on the Client Portal, Invoices page, and Invoices Report.
Navigate to
Setup > Account Settings > Invoice
Toggle Enable Open Invoices to YES
Determine when each Invoice type (Per Visit, Fixed, and CMB/RUP) becomes an Open Invoice using the table below.
Select Update Settings.
⚠️ Changing your Open Invoice settings will not change the actual invoice dates. These settings only affect when invoices become Open going forward — they do not retroactively change invoices that have already met the Open Invoice criteria. |

Invoices with partial payments applied are defined as an Open Invoice.
Client Portal visibility: In addition to your Open Invoice settings, an invoice must meet a few more conditions to appear in the Client Portal specifically: the invoice date must be today or earlier (or the invoice must already have been sent), the invoice total must be greater than $0 (a $0 total will not display, which is different from a $0 balance), and the associated job must be accepted.
After a visit meets the configured criteria (for example, Approved or Completed), an invoice may take a short time to flip to Open rather than updating instantly, so it may not appear immediately in the Client Portal, Invoices Report, or Client show page.
An Upcoming filter is available as an Invoice Status on the Invoices Report, and the Invoices tab on the Client show page. Any Invoice that does not meet the Open Invoice criteria set in Account Settings is considered Upcoming. You can use this filter to locate invoices that should be displaying but
The Client Balance on the Client show page gets updated nightly or when a payment is processed on an Invoice.
