Mark Duplicate Suppliers for Merging

Sion has rolled out a new feature called Verified Suppliers where we offer up-to-date supplier profiles and information. Verified Suppliers have advanced search capabilities as well as Preferred Program and Brands & Chains associations.

However, we know many of you have already manually added the suppliers that you need and included important contact information, notes, and more, to these records.

To help you get the most out of Sion, we’ve created a way for you to merge the supplier information you have manually added with Verified Suppliers. This also works if there were accidentally multiple versions of the same Supplier added manually by agents or contractors.

If you have merging enabled, your agency can merge Suppliers. If merging is not enabled, you can mark duplicate suppliers and then contact Sion to merge the marked suppliers.


Identify Supplier Duplicates

Click Suppliers in the top menu.

In the left filter bar, click the gear icon to open more options.

Check the box for Manual Suppliers. Check the box for With Suggestions. This will display all suppliers you manually added that have a potential match with a Verified Supplier or manually added Suppliers that may have been entered multiple times by agents or contractors.

The Suggestion Type section contains the status of a suggested match. The following options are available to filter by:

  • Open - A potential merge match exists and has not been reviewed or completed.

    • High Confidence - Sion is confident there is a Verified Supplier that matches the manually created one.

    • Medium Confidence - Sion has a reason to believe a Verified Supplier matches the manually created one.

    • Low Confidence - There might be a match with a Verified Supplier.

  • Dismissed - Manual suppliers that had the potential to match with another Supplier but that were dismissed by one of your users or a Host Organization user.

  • Confirmed - Manual suppliers that have already been marked as duplicates and confirmed a match with another Supplier.

  • Merged - This contains an archive of old Suppliers that were successfully merged with current records.

Note: It is generally best practice to start with Low Confidence matches and then work your way to High Confidence.

Once you’ve selected your filter, click the Suppliers tab to see the results.

Click on the supplier you want to merge. In the new window, click the Suggestions tab. Suggestions are possible matches to the selected supplier.

There are two types of suggestions, manually added suggestions and Sion’s automatically generated suggestions for Verified Suppliers. Click the appropriate dropdown to see options.

Note: If you know there is a duplicate Supplier, but don’t see it in the Suggestions tab, you can manually suggest duplicate Suppliers. See the article Manually Suggest Duplicate Suppliers for more information.

The top Sion suggestion will be highlighted as the most likely match. You can also see the Match Score in the top right which gives the confidence level of the match.

You can click View Supplier to see more information and confirm if the supplier is a match.

To dismiss the match as incorrect, click Dismiss.

Click Confirm Merge if it is a match and you want it to be marked for later merging.

A warning window will open up to guide you through the next steps. Click Select confirm option to continue.

The Confirm Supplier Merge window will open.

Sometimes Suppliers have been added manually multiple times by members of your agency or contractors. If this is the case, you will see a section called Include related suppliers with the number of matching suppliers. To mark all of these suppliers as duplicates you want merged, select Include related suppliers.

Otherwise, choose Confirm a single supplier to only merge the one you originally selected. Click Continue to move forward.

After choosing what to do with related Suppliers, you can see the information for the records you are merging to double-check your selection.

Click Confirm Merge.

Note: Nothing will be changed or combined until you contact Sion to merge the marked suppliers.
