Managing Supplier Edits and Disputes on Live Statements

Depending on your live statement setup, suppliers may be able to make automatic edits to an invoice or request edits and submit disputes on statement amounts.

If you enable automatic acceptance of supplier edits, then changes made to an invoice by a supplier will only show in the Action tab of a booking window. As you gave the supplier permission to change the invoice items, there is nothing for you to do with the changes.

If there’s a dispute requiring your attention or an edit that needs approval, the booking will show as Pending Review. There are two ways to view these invoices:


Statement Summary Emails

Whenever a supplier confirms a statement, you will receive an email that contains a count of how many bookings were edited, how many were disputed, and how many bookings are pending review.

Click View Bookings to view the bookings associated with the statement. Only the bookings from the selected statement will display on the page, from there click on a booking to open the booking window.

Select the Pending actions require your review notification in the window and follow the steps for accepting or denying changes.


Filter Pending Review Bookings

To quickly view these bookings, navigate to the Bookings page in the top left menu.

In the top right, under the Total Bookings count, you will see a switch with Pending Review. Toggle the switch in order to filter the bookings by ones requiring a review of a live statement.

Click on one of the bookings to open the booking drawer on the right. Select the Pending actions require your review notification in the window and then move on to accepting or denying changes.


Accepting or Denying Changes

Under the Activity tab, you’ll see a record of the changes made by the supplier. You can Deny All if you do not want to accept any of the proposed changes. To select individual changes to allow, click Review Changes.

The Changes window will open. Use the Apply toggle to select what changes to apply. Dark gray means the change will be applied, light gray means the change will be denied.

Click Apply when you’re done.

If you are denying any edits or disputes from the supplier, you need to resend the invoice to the supplier. This way the supplier will see the correct total and if there is any other money they owe on the booking.

You can view any changes previously made to a booking invoice under the same Activity tab.

Click the button with the eye icon at the bottom of the record to see any denied changes.
