To manage users, navigate to the Users section under People in the left sidebar of the web interface.
For Existing Users:
Select the user you want to modify
From there, you can:
Deactivate users
Change the users' Teams
Promote them to Coaches by adding a Coach Team
Modify their Conversation Types
To Add New Users:
Click the Add Coach or Add Rep button in the top-right corner
You will need to provide the following information:
The user's Team
First Name, Last Name, and Email Address
If your organization signs in with email and password, the new user will receive a branded invite email so they can set up their own account — you do not set a password for them. Here's what to expect:
Subject: "You've been invited to join a team at Siro"
Sender: Siro (hello@siro.ai)
The email names the team and organization they were added to, with an Accept Invite button (and a copy/paste fallback URL below the button in case the button doesn't work).
The invite link expires in 7 days. If it expires, an admin can resend the invite.
For password-based organizations: after clicking Accept Invite, the new user is prompted to set a password that is at least 12 characters and includes an uppercase letter, a lowercase letter, a number, and a special character. The screen ticks each requirement off as they type, and an eye icon lets them show or hide what they have typed. Once it's set, they'll see an "Account created" confirmation with a Sign in button that takes them to your organization's sign-in page, where they can enter their email and new password to get started.
⚠️ One more check happens when they submit. Even with every requirement ticked off, a password that is easy to guess is refused, with a message saying it may still be too easy to guess. The advice on the screen is the advice to give: avoid common words, names and predictable patterns, and use a longer password made of unrelated words. This one catches people out, because the checklist looks satisfied — it is working as intended, not a bug.
Passkeys. Signing in with a passkey is offered to everyone as an alternative to a password. It is optional — a password still works, and nobody has to set one up.
⚠️ Setting up an invited user's password on your own computer will sign you out of Siro. Clicking Sign in on that confirmation screen signs the browser out of whatever account was already signed in, before opening the sign-in page. That is deliberate: without it, the new user would be signed straight back in as you, and everything they did next would be recorded under your account. Sign back in as yourself afterwards.
⚠️ If your organization uses SSO, new users do not get an invite email and never set a Siro password. They are routed to your identity provider automatically and sign in there — signing in with a Siro password is not an option for them. Their account is set up on first login, so there is no Accept Invite step to wait for. Because there is no invite, Resend the invite email does not apply and will report that the user signs in with SSO.
Editing User Information:
Click on any user to open their detailed user-level view. From this view, you can:
Update their Teams or Conversation Types
Manage their connected Integrations
Note: In the web app, updating a user's Contact Information (name, email address, and phone number) is restricted to admins only — coaches cannot edit contact information.
Need contact details corrected? If you are not an admin, contact Siro Support and we can help:
Your own name, email address, or phone number — just ask, and we can update it for you.
Someone else's details, such as a coach correcting a rep's email — we can do this too, but it needs a support agent. Ask to be connected to a person and they'll take care of it.
Selecting the 3 dots at the top of their profile also provides the following options
Grant or revoke Admin status
Deactivate or reactivate the user
Send a Password Reset email
Resend the invite email (not available for users who sign in with SSO)
(For organization owners) Transfer ownership to another eligible user
You'll see Send a Password Reset email for someone who has signed in before, and Resend the invite email for someone who hasn't signed in yet — only one of the two appears.
When a role change takes effect: Admin, coach, and team changes reach the person on their next page load in the web app — they do not need to sign out and back in. If they already have Siro open in a tab, ask them to reload the page or navigate to another one.
Multi-factor authentication
Multi-factor authentication is off by default. It can be turned on for an organization on request — contact Siro Support. When it is on, it uses an authenticator app; SMS codes are not supported, so everyone in the organization enrols an authenticator app.
