Recordings - FAQs

Written by Ethan Peterson-New

The Recordings page is your home for reviewing, analyzing, and learning from your sales recordings. Think of it as your personal tape room, where you can replay conversations, study your approach, and improve over time.

The Recordings page is organized into three tabs:

  • All Recordings — the recordings list

  • Leaderboard — how you and your team rank

  • Playlists — curated collections of recordings

To share a recording with your team, open it and choose Share with team.

General Questions

Q: What is the Recordings tab?
A: The Recordings tab is your central space for reviewing recordings. It lets you analyze past conversations, learn from your wins, and identify areas for improvement.
Currently, the Recordings tab displays your list of recordings and any Playlists you have built or had shared with you.

Q: Who can access the Recordings tab?
A: Both sales reps and managers can access the Recordings page.

  • To make a recording visible to your team, open it and choose Share with team.

  • Recordings you haven't shared remain visible only to you and your managers.

Finding & Viewing Recordings

Q: How do I find a specific recording?
A: The My Recordings list view displays key details at a glance, including:

  • Recording title

  • Date

  • Recording Outcome (when configured for your organization, can be added as an optional column via "Edit Columns")

  • Processing status

  • Customer name (if your CRM is connected)

Q: What does the processing status indicator mean?
A: Each recording goes through transcription and analysis before it's ready to review.
The processing status indicator shows whether your recording is:

  • Still being processed

  • Ready to review

Q: Where can I see follow-up information for my recordings?
A: If your organization has the Follow-ups feature enabled, open any recording to see its follow-up recommendation and score on the Follow-up tab. You can also review all follow-ups on the Follow-ups page.

Q: How do I know if my recording is connected to my CRM?
A: The My Recordings page will display the CRM customer name when a recording is successfully linked.

Q: How do I link a recording to my CRM?
A: If a recording isn't connected (or shows a missing link indicator), click the + icon to manually connect it to the correct CRM record.

Q: Why is it important to link recordings to my CRM?
A: Linking recordings to your CRM ensures your customer interactions are complete and contextual.
This allows you to:

  • Track conversation history accurately

  • Generate better follow-ups

  • Unlock deeper coaching insights

Playlists

Q: What are Playlists?
A: Playlists are curated collections of recordings designed to help you improve by highlighting your team's best moments — or anything that interests you. They come in a few types: Shared Playlists (curated by managers/leadership and visible to everyone), Private Playlists (created by you, only visible to you), and Bookmarks (auto-generated collections of key moments, organized by theme). Note: section names and grouping differ slightly between the web app and the mobile app.

Q: How do I create a Playlist?
A: You can create a Private Playlist from the Playlists tab in the Recordings tab. Try building one to capture your best closes, or to review appointments where you want to improve.

Q: How do I add a recording to a Playlist?
A: You can add content to a playlist in two ways:

  • Full recording: From the Recording Detail Screen, tap or click the three dots next to the recording title and select Add to playlist.

  • Transcript snippet: Select a portion of the transcript, then choose Add to playlist from the options that appear. This works on both the web app and the mobile app.

Q: What are Public Playlists vs. Private Playlists?
A: Public Playlists are created by coaches or admins and are visible to all users in the organization. If you are a coach or admin, you can make any of your own playlists public, which makes it accessible to everyone in the org. Private Playlists are personal — only you can see them.

Q: Who can edit or delete a Playlist?
A: The person who created it can always rename it, edit its description, add or remove recordings, and delete it. In addition, org admins can manage any playlist that has been made public — including ones they did not create — so a shared playlist isn't stranded if its creator leaves or is unavailable. Private playlists can only be managed by their creator. To rename a playlist or change its description, open it and use the ⋮ menu → Edit.

Q: Can I make my Playlist visible to the whole team?
A: Yes — if you are a coach or admin, you can make any of your playlists public. Open the playlist, then toggle the Public switch at the top of the playlist page. Once enabled, it will appear in the Public Playlists section for all users in your organization.

Q: What are Bookmarks?
A: Bookmarks are automatically generated collections of key moments from your team's sales process, organized by theme. Listening to bookmarks is a great way to learn how others on your team approach specific steps in your process — such as objection handling, pricing discussions, or closing techniques.
