Notification rule: Custom filters

Create flexible notification rules based on transport filters for Road, Ocean, and Air transports.

The Custom filters notification rule lets you create notifications based on transport conditions of your choice.

For Road, use this notification type when you want to monitor a specific group of transports, but none of the predefined notification types fully matches your use case.

For Ocean and Air transports, Custom filters are the only available notification rule type giving you a full adaptability of own use cases.

When to use this notification

Use Custom filters when you want to:

  • monitor transports for a specific carrier, customer, user, site, or lane;

  • receive updates for transports with selected tracking statuses;

  • create notifications based on custom fields configured for your company.

How the trigger works

Custom filter notifications are sent automatically whenever a transport matches the specific filters configured in your rules. Users can select from a wide range of custom filter variables, providing the flexibility to cover almost any use case.

For example, you can create a rule for:

  • Ocean transports for a selected ocean carrier;

  • Air transports with a selected booking number or air waybill number;

  • transports assigned to a specific user;

  • transports matching a company custom field.

Notifications are sent when the selected conditions are met. If the transport later stops matching the filters and then matches them again, another notification will be triggered.

Recipients

You can add transport-level recipients by email or SMS. For each recipient, you can select the notification language.

Stop-level recipients are not available for Custom filters.

Frequency for Ocean and Air

For Ocean and Air custom filter notifications, you can choose how often notifications are sent. Either instantly when the rule is matched or in scheduled intervals. Scheduled notifications group matching transports into a single email.

How to set it up

  1. Open Notification rules from the side menu.

  2. Select Add notification rule.

  3. Choose the transport mode: Road, Ocean, or Air.

  4. Select Custom filters as the notification type.

  5. Add the filters that define which transports should trigger the notification.

  6. Add one or more recipients.

  7. Select the notification language for each recipient.

  8. For Ocean or Air, choose the notification frequency.

  9. Add a rule name.

  10. Save the rule.

Example

A transport planner wants to be notified about all working road transports assigned to them that are meant for specific customer. They create a Custom filters notification rule with:

  • transport mode: Road;

  • tracking status: Tracking;

  • user: themselves;

  • stop name: selected stop name that identifies the goods recipient;

  • recipient: their email address.

As soon as a matching transport meets these conditions, the planner receives a notification and can decide whether action is needed.

Good to know

Custom filters are flexible, but they should stay focused. A rule with too many broad filters may notify too many recipients too often.

Use a clear rule name, for example Customer X road transports assigned to me or Ocean alerts for Carrier ABC. This makes it easier for users and admins to understand why a notification was sent.
