How to archive and unarchive vehicles in Vehicle Management without deleting them or changing tracking.

Archive vehicles

Use Archive to hide vehicles that you no longer want in your day-to-day fleet list, without deleting the vehicle or its integration. Archived vehicles are moved out of your Current view and can be brought back later. If you need the vehicle again, there is no need to reconnect it from scratch. Simply unarchive it to return it to your Current view.

When to archive a vehicle

Archive a vehicle when it is already connected to your company, but is no longer relevant for day-to-day fleet work in Vehicle Management.

Typical cases:

  • A vehicle has been sold or retired, but it still appears in your list.

  • A partner dedicated vehicles you do not need in your working list.

  • An integration brought in more vehicles than you want to see day to day.

You can archive any vehicle on the Dedicated vehicles tab.

Archiving is only available from Dedicated vehicles. It is not available on Integrations, Dedicated by partners, or Dedicate your vehicles.

What happens when you archive a vehicle

Archiving a vehicle applies at the company level, meaning it affects all colleagues in your company. When you archive a vehicle:

  • The vehicle is removed from the Current view.

  • The vehicle appears in the Archived view.

  • The vehicle is preserved, so it can be unarchived later.

  • The vehicle remains available for allocation and tracking.

Archiving a vehicle does not delete the vehicle, delete its integration, change partner dedications, stop tracking, hide the vehicle from shippers or partners, or change billing. It only hides the vehicle from your active Vehicle Management list (Current view).

Since it does not have any other operational effect, no information is sent to partners or shippers about the vehicle being archived.

Archive one vehicle

  1. Open Vehicle Management.

  2. Go to Dedicated vehicles.

  3. Make sure Current is selected.

  4. Find the vehicle you want to archive.

  5. Open the Actions menu for that vehicle (the three-dot menu at the end of the row).

  6. Select Archive vehicle.

  7. Review the confirmation message.

  8. Click Archive to confirm.



The selected vehicle is moved to the Archived view. A confirmation toast appears, for example Vehicle "003VIP" archived.

Archive multiple vehicles

  1. Open Vehicle Management.

  2. Go to Dedicated vehicles.

  3. Make sure Current is selected.

  4. Select one or more vehicles by ticking the checkbox. You can also select every vehicle that matches your current filters.

  5. In the floating action bar, click Archive.

  6. Review the confirmation message. It shows how many vehicles will be archived.

  7. Click Archive to confirm.


The selected vehicles are moved to the Archived view. A confirmation toast appears, for example 7 vehicles archived.

You can archive up to 10,000 vehicles at once. If your selection is larger, narrow your filter (partner / status / search) and archive in batches.


View archived vehicles

Archived vehicles are listed when you switch from Current to Archived on the Dedicated vehicles tab.

Current is the default. It shows your working fleet and excludes archived vehicles. Archived shows archived vehicles only.


From the Archived view, you can:

  • Search, sort, and review archived vehicles.

  • Open an archived vehicle’s side panel.

  • Download an Excel file of the vehicles in this view.

  • Unarchive one or more vehicles.

Unarchive a vehicle

Unarchive a vehicle when you want it back in your Current view.

  1. Open Vehicle Management.

  2. Go to Dedicated vehicles.

  3. Select Archived.

  4. Find the vehicle you want to unarchive.

  5. Open the Actions menu for that vehicle.

  6. Select Unarchive vehicle.

  7. Review the confirmation message.

  8. Click Unarchive to confirm.

After the vehicle is unarchived, it moves back to the Current view.


Unarchive multiple vehicles

  1. Open the Archived view.

  2. Select one or more vehicles.

  3. In the floating action bar, click Unarchive.

  4. Review the confirmation message.

  5. Click Unarchive to confirm.


The selected vehicles move back to your Current view.


Downloads

The Vehicle Management download follows the view you are looking at.

This means:

  • From Current, the file includes your working (non-archived) vehicles.

  • From Archived, the file includes archived vehicles only.

What you see is what you export.


If a vehicle comes back later

Archive is remembered for that vehicle in your company.

  • If a partner takes a dedicated vehicle back and later dedicates it to you again, it stays archived.

  • If you stop dedicating one of your own vehicles and later dedicate it again, it stays archived.

If you delete an integration and add it again, the vehicles are treated as new. They reappear in the Current view, and you can archive them again if needed.


Frequently asked questions

Is archiving the same as deleting a vehicle or an integration?

No. Deleting an integration removes the connection that brought the vehicles in. Archiving only hides a vehicle from your Current view. The vehicle, the integration, and any partner dedications stay in place.


Can I still allocate an archived vehicle to a transport?

Yes. Archived vehicles remain available for allocation and tracking. Archive is a list-cleanup action, not an operational stop.


Will an archived vehicle still be tracked?

Yes. If the vehicle is allocated to a transport, tracking continues as usual.


Does archiving affect billing?

No. Archiving does not change billing.


Are partners or shippers informed when I archive a vehicle?

No. Archiving only hides the vehicle from your Current view. Partners and shippers are not notified, and their views are not changed.


Can I unarchive a vehicle later?

Yes. Open the Archived view and select Unarchive vehicle.


Why can I not archive from other Vehicle Management tabs?

Archiving is only available from the main Dedicated vehicles tab. That is the working list of vehicles available to you 24/7.


Why did a vehicle I archived reappear in Current?

If the integration it came from was deleted and created again, the vehicle is treated as new and returns to Current. Archive it again if you still want it hidden.


What if I need to archive a very large fleet?

You can archive up to 10,000 vehicles at once. Narrow your filter (partner / status / search) and archive in batches if your selection is larger.


Who can archive vehicles?

Anyone in your company who has access to Vehicle Management can archive and unarchive. The change applies for everyone at the company.
