Shared Views for Ocean: Simplified and Secure Container Data Sharing for Your Customers

Written by Patricia Poker

Shared Views are now available for Ocean transports. You can give consignees, partners and internal teams real-time visibility into their ocean container shipments — without giving them access to your full Trimble Freight Visibility account.

By creating a customised Ocean view, you choose exactly which containers and which data to share. You stay transparent with your customers while keeping full control over who sees what.

This is the same sharing experience you already use for Road transports, now with Ocean-specific filters, milestones and map tracking.

🌟 Why is this feature valuable?

  • Efficiency: Set up a Shared View once, instead of sending individual container tracking links every time a customer asks “where is my box?”.

  • Convenience: Consignees and end customers get direct, immediate access to container status, milestones and ETA — with no interaction needed from your team.

  • Control: Access is filtered to the containers you choose, revocable at any time, and can be restricted to named email recipients.

  • Consistency: One sharing flow across Road and Ocean, so your team does not need a separate process for ocean freight.

What you can share for Ocean

An Ocean Shared View is built from your Ocean transports, so it carries ocean-specific data:

Area

What is included

List

Container number, transport number, booking number, B/L number, carrier, port of loading (POL), transshipment ports, port of discharge (POD), status / milestone, ETA

Transport details

Locations, planned / estimated / actual milestones, transshipments, map view

Filters you can share on

Tracking status, carrier, booking / B/L / container reference, locations and milestones (for example POL or POD), date range, demurrage and detention, custom fields

Not included

Editing actions — recipients always get a read-only view. They cannot change transports, invite carriers, or open other modules.

💡 Recipients only see the ocean shipments that match the filters you saved. They cannot widen the view by editing the URL.

How to create an Ocean Shared View

Follow these steps to build and share your first Ocean view:

  1. Go to Shared Views in the left menu and click Add shared view.

🔐 Make sure you have Admin rights. Only Admin users can create Shared Views.

  2. Select Ocean as the transport mode. This loads the ocean-specific filters (the same builder pattern you already use in Ocean notification rules).

  3. Define your transport criteria:

    • Shared View name: use a clear, professional name. This name can be visible to your customers.

    • Tracking status: select the Ocean statuses to include, for example Upcoming, In transit or Completed.

    • Add filters: narrow the view down to the containers for that customer. Typical Ocean filters include carrier, booking number, B/L number, container number, locations and milestones (POL, POD, transshipment), date range, demurrage and detention, and custom fields such as a customer code.

  4. Set up access in the Access to the Shared View section — authorised emails, a public link, or both (see below).

  5. Activate and save:

    • Set the status to Active.

    • Review and tick the Consent box to agree to the data sharing terms.

    • Click Save. Your links are now live.

    • Copy the generated link and send it by email, chat, or your preferred channel.

How to manage your Shared Views

The Shared Views list gives you a bird’s-eye view of every view you have created. Ocean views are marked with the Ocean icon, so you can tell them apart from Road (and Air) views at a glance.

At a glance you can see how many links are active for each view and which criteria are applied.

Use the three dots (...) next to any view to:

  • Get shareable link — copy the URL, or open it to see exactly what your customer sees.

  • Open in Transports view — see the same containers in your own Ocean transports view.

  • Edit — change filters, rename the view, or add and remove links.

💡 Hint: click the Shared View card to open it directly in edit mode. Editing filters applies immediately for recipients and does not break the existing link.

How to share it with your customers

There are two ways to share an Ocean view: authorised access (recommended for sensitive shipment data) or a public link.

To share a view with an authorised user via email

  1. Open the Shared View you want to share.

  2. Go to the Access to the Shared View section.

  3. Enter the email address of each person you want to authorise.

  4. Tick the checkbox to grant consent and enable access.

  5. Click Save. An invitation is sent automatically to each new recipient.

  6. Monitor status in the list: Sent (with expiry date), Joined (with acceptance date) or Expired.

How authorised recipients access a Shared View

First-time access

  1. Receive the invitation — the email mentions your name and company.

  2. Confirm and proceed — the recipient clicks the link to open the visibility platform.

  3. Accept confidentiality — on the first visit they accept a legal consent form on data confidentiality.

  4. Access the data — they are redirected straight to your shared ocean containers.

Returning logins

  • Passwordless sign-in: on the login page they select Login to a Shared View and enter their authorised email address.

  • Secure verification: a verification link is emailed to them and expires after 10 minutes.

  • Extended sessions: the session stays active for up to 30 days before a new login is required. Recipients can bookmark the page.

Managing multiple views

  • Switching views: if several views are shared with the same email address, the recipient switches between them under Account actions.

  • Transporeon users: existing Transporeon users can switch between the Shared View and their own company context in the same place.

To share a view using a public link

  1. Open the view you want to share.

  2. Go to the Access to the Shared View section.

  3. Click Add link under Publicly shareable links.

  4. Name the link after its audience, for example Consignee – Rotterdam, Account managers or Customer care.

    • Tip: create multiple links for the same view so you can track and revoke access per audience.

  5. Tick the box to grant consent and enable public access.

  6. Click Save.

  7. Copy and share the generated link.

⚠️ A public link gives access to anyone who holds the URL. Prefer authorised access when you are sharing commercial ocean shipment data with a known consignee or partner.

What the view recipient sees

When your customer opens the link, they land on a dedicated Shared View portal. There they can:

  • See the list of ocean shipments you granted them access to, with identifiers such as container number, POL, POD, carrier and ETA.

  • Check real-time status and milestone updates (for example Gate out, Vessel departure, Transshipment, Discharged).

  • Follow containers on the map view, including transshipment legs.

  • Open an individual container to see stop details, the milestone timeline (planned, estimated and actual) and remaining voyage.

What they cannot do:

  • See any container outside your filter.

  • Navigate to other modules, other companies, or your Road transports from this Ocean view.

  • Change, comment on, or manage the shipments — the portal is read-only.

Custom branding: make it yours

Apply your company logo so customers immediately recognise the portal as yours.

To set up your branding: go to Account actions → Settings → Company profile, upload the logo and click Save changes.

Important notes:

  • One logo can be added per company account for now. Support for distinguishing between brands or sales organisations is on the roadmap.

  • Preferred format: PNG or JPG, max 1 MB, recommended height 64 px.

Frequently asked questions

How long is a sharing link active?

The link stays active for as long as you need it, and you control its lifecycle:

  • To deactivate: in the Shared Views list, delete the specific link or set the whole view to Inactive.

  • Permanent removal: delete the Shared View in edit mode.

  • Recipient experience: anyone opening a deactivated or expired link sees a clear message that the link is no longer active. No shipment data is exposed.

Does my customer need a Trimble Freight Visibility account?

No. With authorised access they sign in passwordless with their email address — no full Trimble Freight Visibility account is needed. With a public link, no sign-in is required at all.

Can I share Ocean and Road transports in the same view?

No. Each Shared View covers one transport mode. Create a separate Ocean view and a separate Road view. If you share both with the same recipient email, they can switch between views under Account actions.

What happens when the shipment data updates?

The portal always shows live data. Milestone, ETA and status updates appear for your customer as soon as they appear for you.

Who in my company can create Shared Views?

Only users with Admin rights. Company Admins can also see Shared Views created in the company and revoke access when needed.

Is this the same as sending a single tracking link?

A single tracking link is still useful for one hot shipment. A Shared View is better when a customer or site needs an ongoing, filtered list of their ocean containers — set up once, reused many times.
