In a continuation to help improve billing and invoicing for HUB organizations, SkyWatch has released a new feature to allow SuperAdmins to add budgets to projects.
This new feature, "Project Budgets", will give SuperAdmins the ability to assign budgets to multiple projects from a single payment method.
For example, organization X has $20000 allocated for the year and they have four ongoing projects. Each of those projects have a budget set for the year, and the SuperAdmin wants to ensure one project does not use more funds than it is budgeted for. Let us say, each project cannot spend more than $5000 each.
Organization X Funds - $20000 (Created as a Payment Method)
Project A - $5000
Project B - $5000
Project C - $5000
Project D - $5000
On HUB, organization X can assign a $5000 budget to each project. Users can create orders against the projects until the $5000 budget is reached. Once reached, all future orders will be blocked until the SuperAdmin increases the budget.
The budget for the projects can be spent against prepay credit or monthly invoice payment methods. To set up a payment method for theirHUB organization, the SuperAdmin must contact their SkyWatch Account Manager.
Below are the steps SuperAdmins will need to follow to assign a budget to a project.
How to Set Up a Budget
To add and edit budgets, go to "Organization" -> "Projects"
In your HUB Projects table, you will notice a "Budget" column. This column will contain the maximum budget a SuperAdmin sets for the project. If no budget has been set for a project, the value "Not Set" will be shown.
To add and edit a project’s budget, click on the Actions button.
A new window will appear giving the SuperAdmin the option to add or edit the budget of a project.
Once a budget has been set, every time archive and tasking orders are added to the cart and the project with a budget is selected, the payment details will be revealed informing the user of the available and pending funds in the budget. If the cost of the order is greater than the remaining budget, the checkout cannot proceed.
