Tagging Tips: How to Use Tags in SLP Toolkit

Create tags for your students to organize your caseload and make scheduling a breeze!

The Tag feature in SLP Toolkit can transform your caseload list into a dynamic, highly searchable database. It eliminates the "brain strain" allowing your to categorize students based on their unique scheduling and services.

Custom Caseload Management

Tags allow specific categorization that standard fields might not cover. You can group students by:

  • Service Delivery: Homebound, self-contained, or inclusion

  • Subgroups: MTSS, screenings, or evaluations

  • Easy Retrieval: Once tagged, you can search your entire caseload by these custom labels to find specific cohorts in seconds.

How to Tag Students in the Caseload tab

  1. Use the Tags column to create custom tags. Tags may help you categorize specific students or subgroups (e.g. screenings, self-contained students, push-in vs. pullout students, etc.).

  2. Click on the Tag column header to resort and group your students based on Tags.

  3. Search by a specific Tag in the Search box, to find a specific group of students.

Pro-tip: You can also add Tags to help you create a schedule without all the brain strain. Tag students by certain classes or timeframes that they're available to be seen for services (ex: 8:30am, 3rd period, WIN time, etc).


Stress-Free Scheduling

The most impactful benefit of Tags is the ability to filter students by their availability when creating a schedule. By tagging students with specific timeframes or class periods (e.g., "2nd Period" or "Tuesday AM"), you can use the Scheduler's filter to see exactly who is available at any given moment. This allows you to bulk-schedule groups instantly, moving students onto your calendar with a few clicks rather than cross-referencing multiple paper schedules.

How to Use Tags to Create a Schedule

  1. Any Tags you add in the Caseload tab will also appear in the Scheduler under a student's Teacher and Grade level.

  2. You can also add any additional Tags from the Scheduler.

Then, click on Service Times subtab at the top of the page, select a Tag, and you can easily view all of the students that are free at a certain time period.

For example, I filtered all of the students on my caseload that have the tag '2nd hour.' Now that I have the students that are available for services during 2nd hour, I can highlight a time block during 2nd period on the schedule view, click the 'Schedule' button, and the students will automatically transport onto my schedule - just like that!

After scheduling a student, hover over their name to view their Tag(s).


Organize Anecdotal Student Notes

Tagging isn't just for student names; you can also tag Student Notes. This is a massive time-saver when it comes to:

  • Filtering Notes: Quickly finding all notes related to a specific goal or event.

  • Targeted Printing: If you need to provide documentation for a specific topic, you can filter by that Tag and print only those relevant notes via the Actions button, rather than sifting through a student's entire history.

How to Tag Student Notes

Tag notes in the Student Notes dashboard to make them easier to find and filter (ex: Phone call, Teacher consult, Observation, etc).

  1. Type in the name of the tag in the Tags column.

  2. Use the search bar at the top to find notes by a specific Tag.

  3. When you filter your notes, you can also print just those notes by using the Actions button to the right of the search bar.

Streamline Medicaid Reporting

1. Filter students who have consent for Medicaid billing by creating a Tag in the Caseload tab called "Medicaid".

2. In the Reports tab, select the 'Medicaid Data' report and filter your students by the "Medicaid" tag.

FAQs

Can I Tag therapy sessions from the Daily Data Agenda page?

Tags aren’t visible within session events on the Agenda page, however, you can upvote this feature here!

In the meantime, some users find it helpful to add the tag down in the “Group Notes” section of the session event so it’s easy to reference during their sessions.

Can I Tag Goals in the Students tab?

Tagging Goals is not a current feature, but you can upvote this feature here.

Can I delete Tags on the Caseload tab?

Deleting Tags is not a current feature, but you can upvote this feature here.

By acting as a "digital filing assistant," the Tag feature allows SLPs to spend less time on administrative tasks and more time on direct student intervention.
